Duties and Responsibilities:

  • Assists Claim Litigation Office with delivering legal services.

  • Performs duties requiring a variety of office skills, interpersonal skills, and procedural knowledge in direct support of members of the office providing legal services.

  • Provides administrative assistance to attorneys, legal secretaries, legal assistants and leadership by assisting in the completion of delegated tasks through collaboration with internal and external customers and vendors.

  • Updates files in case management software promptly and accurately

  • Opens new cases in a timely and accurate manner

  • Prepares correspondence timely and accurately

  • Answers and handles calls promptly and accurately forwards calls or records messages

  • Scans incoming mail timely and accurately into appropriate locations

  • Monitors and files emails and faxes according to office procedure

  • Works under close supervision

  • Accurately follows written, oral and dictated instructions

  • Participates in in-house training to continue development and expand legal knowledge

  • Engages and responds to Excellence in Operations Management (EOM) dialogues and activities and performs at or above EOM targets.

If assigned to Calendar Coordinator:

  • Schedules appearances in a timely, accurate and efficient manner

  • Answers and professionally responds to phone calls from clients, adverse counsel, claims, and vendors

  • Prepares correspondence timely and accurately

  • Updates files in case management software promptly and accurately

If assigned to Data Entry Operator:

  • Accurately maintains case management database

  • Opens and closes new cases in a timely and accurate manner

  • Prepares correspondence timely and accurately

  • Timely scans miscellaneous tasks

If assigned to Word Processor:

  • Types and transcribes documents accurately and timely, using good technical and grammatical skills

  • Processes requests for records in a timely manner

  • Updates files in case management software promptly and accurately

If assigned to Receptionist:

  • Demonstrates professionalism and courtesy in telephone conversations and with visitors/vendors in the office

  • Answers and handles calls promptly and accurately forwards calls or records messages

  • Communicates effectively with a broad spectrum of contacts, internal and external to the office, using communication and relationship building skills

  • Maintains the general orderliness and security of the reception area

If assigned to Scanner Operator:

  • Scans incoming mail timely and accurately into appropriate locations

  • Completes other scanning as assigned

  • Monitors and files emails and faxes according to office procedure

Additional Details:

  • Knowledge and familiarity of the legal process, as well as legal and medical terminology helpful but not required.

  • Intermediate computer skills, working knowledge of Microsoft Windows, and reception coverage experience a plus.

  • Opportunity to work on special projects and other duties as assigned.

  • May work irregular hours because of workload and nature of the work.

  • Position requires bending and stooping, reaching and lifting objects typically weighing no more than 25 lbs.

This role will require individuals to process enrollment forms and surveys for prescribers and patients. LOCATION: Summit, NJ COMPENSATION: $18- $20 per hour WORK SCHEDULE: Monday - Friday, Rotating 8-hr shifts between the hours of 8:00am-8:00pm ESSENTIAL FUNCTIONS: * Process enrollment forms and surveys for prescribers and patients * Ensure the patient and prescriber enrollment forms and surveys meet all requirements and are processed quickly and accurately. * Outbound calls and faxing to resolve issues. Surveys are completed via inbound calls. * Assist users with self-service applications * Individuals are required to use a telephone, wear a headset, and sit at a desk for extended periods of time. Responsibilities may include, but are not limited to, the following: * Handle inbound calls, outbound calls, faxes and emails. * Handle transactions concerning programs and triage customers * Liaise with representatives within Customer Care to assist with issue resolution associated with enrollments. * Handle any complaints or concerns * Recognize potential adverse events and product quality complaints * Document each contact promptly and accurately in the database system * Carry out special duties as assigned by management. Skills/Knowledge Required: * Strong organizational skills and attention to detail * Excellent communications skills (verbal, written and listening) * Computer Skills (Outlook, Word, Excel) * Strong keyboard skills and the use of basic office equipment (telephone, fax machine, copier, etc.) * Team player, adaptable to change, and able to build mature business relationships * Good documentation practices * Arrive to work on time, adhere to schedule, and be flexible to support other schedules as needed. * Knowledge of medical or scientific terminology, a plus.
