East Carolina University (ECU) is a member of the University of North Carolina system, enrolls 28,000 students annually, with over 5,500 pursuing graduate and professional degrees. ECU's Department of Biology administrative offices are located in the Life Sciences and Biotechnology Building, a gateway to a growing, vibrant downtown district in the coastal region of North Carolina. The Department of Biology is one of 16 units in the Thomas Harriot College of Arts and Sciences and is home to more than 1,400 undergraduate majors and 70 graduate students and instructs more than 17,000 students each academic year. It is a comprehensive department that emphasizes an integrative approach to the study of life sciences. We offer undergraduate majors in Biology and Biochemistry and graduate opportunities at both the M.S. and Ph.D. levels. The Department is made up of approximately 40 faculty, 7 post-doctoral scholars, and 13 staff.

Faculty are actively engaged in research. On an annual basis faculty generate approximately $2-3 million in new grant awards and expend approximately $1.5 million in direct research costs. The Department offers several core support services (e.g., Genomics Core Facility, Environmental Research Lab, and Imaging Core facility), is committed to both professional and public service, and collaborates with a number of external partners.

Job Duties

This SHRA position maintains student files, Graduate Teaching or Research Assistant spreadsheets, budgets, and position management including position change forms and budgets/positions for Grad School; Thomas Harriot College of Arts & Sciences; Research, Economic Development & Engagement; and grant funded graduate students. This position performs graduate student contracts and EPAFs, graduate student hiring and payroll for about 70 graduate students, tuition remission/tuition & fee & insurance waivers, and liaises with the international office to monitor visa status for graduate students. This person assists students with registration and enrollment verification and maintains various spreadsheets regarding completed courses, theses/dissertation committees, progress toward graduation. This position also maintains the graduate course schedule. This position also handles all graduate office events with Biology Graduate Student Association, Research in Progress Seminars series, Guest Speaker Seminar Series Graduate Luncheons (bake sales, luncheons, seminars, recruitment week, research week, and reimbursements, etc.). This position maintains the student driver verification database as well as verification letters and the vehicle reservation system. This position also performs postdoc contracts and renewals with the Office of Postdoctoral Affairs. This person also reserves rooms in 25Live and assists the graduate director with admissions, incomplete applications, data tracking, access, graduate student teaching and lab schedules, recruiting, and surveys of students (thesis/dissertation committee, progress, and defense paperwork, Graduating Senior Survey National Institute of Health/National Science Foundation Survey, enrollment, registration).

Minimum Education/Experience

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

License or Certification required by statute or regulation

Preferred Experience, Skills, Training/Education

  • Experience in finance, to include payroll and budget management.

  • Experience with Microsoft Excel.

  • Knowledge of graduate school policy, academic regulations, and working collaboratively with other administrative offices.

  • Previous experience in interacting with student populations.

License or Certification required by the Department
