Job Summary

Columbus State University has an opening for an Administrative Support Specialist III in the Shared Administrative Services Center. This position provides a wide range of general administrative support to departments throughout campus.

Responsibilities

Significant responsibilities include but are not limited to: Preparing and submitting supply and equipment orders on behalf of the requesting department.; Coordinates activities involved with procuring goods and services.; Reviews invoices to ensure P.O. number and invoice prices are correct.; Reviews purchase requisitions and confers with customers to clarify any questions regarding orders .; Ensures appropriate fiscal responsibility is maintained and required policies, procedures, codes, standards, and federal regulations are properly adhered to.; Compiling documents and data for a variety of internal and external reports.; Confers with vendors to obtain product or service information such as price, availability, and delivery schedule.; Preparing and coordinating submission of a variety of operational requests to other units. Preparing and submitting reimbursement requests.; Preparing and submitting purchase order requests.; Preparing and submitting Foundation payment request.; Performing budget management functions.; Performs other related duties as assigned.

Required Qualifications

Minimum qualifications include: Bachelor's degree or equivalent; and five years' experience in an administrative support role, preferably in a higher education setting.; A minimum of three years' experience with Peoplesoft.; The successful candidate must possess the ability to read and interpret basic financial statements, budgets, and reports; a basic understanding of state purchasing guidelines; a basic understanding of USG budget guidelines; a working knowledge of MS Office (Word, Excel, PowerPoint); a working knowledge of Google suite (Gmail, Google Drive, etc.); strong customer service skills; a high level of attention to detail; be highly organized and able to manage competing priorities; excellent time management skills; a strong sense of responsibility; the ability to complete tasks with minimal supervision and high degree of accuracy; be reliable; flexible; positive; and possess a collaborative attitude.

Preferred Qualifications

Preferred qualifications include: Five years' experience in an administrative support role, preferably in a higher education setting. Prior budgetary or accounting experience highly desired.

Proposed Salary

The proposed annualized salary range for this position is $41,835 - $48,802 and includes full benefits.

Conditions of Employment

  • A credit check completed for Positions of Trust and or approved departmental Purchase Card usage;

  • Pre-employment drug testing for positions with high-risk responsibilities.

  • Motor vehicle reports are required for positions that are required to drive a Columbus State University fleet vehicle or other vehicle designated as a fleet vehicle. A successful drug screening will be required as a condition of employment a randomly thereafter.

  • Applicants for positions of trust may be asked to disclose criminal record history during the initial screening process and prior to a conditional offer of employment.
