General Information:

JMU Occupational Therapy Clinical Education Services (OTCES) seeks a part-time Administrative Support Specialist in our pediatric outpatient therapy clinic. This posting is for a part-time wage position with no benefits. This position will work 10 to 15 hours per week.

Duties and Responsibilities:

Front-Desk Reception:

Manage initial referrals, submit insurance information, set up client charts

Communicate with medical providers regarding client prescriptions and authorizations

Provide clinic information to families, organizations, and/or other professionals

Update/monitor OTCES calendars

Office Management:

Create/update clinic forms and policies and procedures manual

Review, update and maintain all compliance documentation and contracts (in collaboration with clinic director)

Maintain team licensure and training documentation

Oversee established Quality Assurance program

Perform quarterly client chart audit

Review visit logs and reconcile with billing and payroll documentation

Collect time sheets and submit payroll hours

Purchase/maintain supplies and equipment

Manage building/parking issues

Update and monitor JMU policy and procedures compliance

Qualifications:

Excellent communication and organizational skills

Knowledge of Microsoft Office applications, including Outlook

Ability to manage multiple priorities

Detail-oriented

Ability to take initiative and work well independently

Additional Posting Information:

This is a part-time wage position working 10 to 15 hours per week and is not eligible for benefits.

The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus.

The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
