Primary Purpose of the Organizational Unit

The Department of Specialized Education (SES) is an academic department with undergraduate programs in special education teacher education, the dual major in elementary education and special education teacher education program, interpreting and advocacy, deaf education in teacher education, and birth-kindergarten teacher education; graduates programs at the master's level in special education and birth-kindergarten; and the doctoral program in special education.

Position Summary

The person in this position oversees administrative activities in the department, including developing processes and procedures, initiating and authorizing human resources activities, budgeting (including processing all payments and travel reimbursements), class scheduling, records management, scholarship administration, customer service, and other office activities.

Minimum Qualifications

HIGH SCHOOL DIPLOMA OR EQUIVALENCY AND ONE YEAR OF RELATED OFFICE EXPERIENCE; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE.

Essential Tasks

  • Maintain all aspects of departmental funds; maintain budgets for Other Than Personnel state funds, non-state discretionary funds, and temporary faculty budgets; expend funds for all departmental business including travel expenses, operational expenses, recruiting and advertising costs, and event/conference expenditures; maintain and reconcile the departmental PCard; initiate paperwork for student-related payment actions including tuition waivers; complete all HR-related financial tasks such as serve as departmental time-keeper; assist in budget creation; access financial and budget data for reporting.

  • Maintain consistent operation of all departmental administrative business by following and implementing procedures that ensure accurate record keeping of student, faculty, and employee data, departmental program data, and departmental financial data.

  • Responsible for all EPAF/PAF actions for faculty and staff.

  • Responsible for creating, transitioning, and maintaining compliance for all departmental searches (Jobsearch and Handshake).

  • Budgets, searches, hires, and processes Graduate Assistantships, including stipends and scholarships for the SOE and department.

  • Manages personnel records and P&T documentation for faculty; coordinates with HR, Provost office, and facilities management.

Essential Tasks

  • Interact with faculty, students, potential students, university officials, and business partners via email, telephone, and in person.

  • Write and edit documents, forms, correspondence, and web content; explain policies and procedures; report information; read and understand documentation.

  • Maintains departmental website and social media pages.

Essential Tasks

  • Coordinates with program leadership and department chair to create course schedules and faculty workload; enters/modifies course schedules into Banner.

  • Departmental designee for Registrar and Graduate School.

  • Coordinate services and department-sponsored events.

  • Train and supervise Graduate Assistants, student hourly workers, and temporary hires as appropriate; ensure operational policies and procedures are followed.
