We have an exciting new opportunity for an Administrative Support professional. The Administrative Support professional will perform routine administrative functions such as preparing correspondence, arranging conference calls, and scheduling meetings. The Administrative Support will support the Program with the direction of the Program Manager and Government Program Manager to manage all budeting, labor, project life cycle and manage all overall milestones, resourcing and project deliverables. The Administrative Support will showcase proficient Windows Excel, Powerpoint and data call sheets to ensure the Program is performing within standard, time and budget.

  • Office equipment and supply inventory maintenance Initiate and prepare outgoing correspondence in accordance with originator instructions and review for completeness and correctness.
  • Type, edit, format, and print a wide variety of documents for the command staff, including correspondence, technical reports, organizational proposals and justifications, technical notes, instructions, notices and other directives.
  • Process and review requests for new or revised directives, draft requested directives, and distribute for comments and changes to appropriate government approving personnel.
  • Receive notification of prospective gains and losses, request sponsors, and prepare and mail welcome aboard letter and package for each prospective gain

VIEW JOBS 9/29/2022 12:00:00 AM 2022-12-28T00:00 <p>Overview</p><p>Bowhead is actively recruiting for a Senior Security Administrative Assistant for an immediate position to provide security administrative services/support to Commander Naval Surface Force, U. S. Pacific Fleet (CNSP) Security Directorate (Security Management Office) located onboard the Naval Amphibious Base (NAB) Coronado, California.</p><p>Responsibilities</p><p>Essential Duties Include:</p><p>� Maintaining CNSP staff personnel (military, civilian, and contractor) security files (both electronic and hard copy which includes the Defense Information System for Security (DISS) person summary, security orientation brief and personnel security questionnaire.</p><p>� Will be responsible for the day-to-day operation of the activities Personnel, Information and Physical Security mission supporting both the command and the fleet.</p><p>� Providing Government personnel with Government approved foreign travel briefings as required.</p><p>� Conducting fingerprinting utilizing the SWFT+ fingerprinting system</p><p>� Receiving and recording personnel clearance eligibility based upon DISS information for personnel and forwarding the annotated System Authorization Access Request (SAAR) form for final approval</p><p>� Preparing classified documents/correspondence for signatures/transmittals in accordance with all security requirements</p><p>� Monitoring multidiscipline security operations as well as personnel security suitability and adjudicative guidelines, agency specific qualifications, personnel security regulations, and investigative standards</p><p>� Supporting security awareness programs, and attending, coordinating and apprising management on any matters related to meetings, training an higher-level policy changes.</p><p>� Must have experience with communicating both orally and in writing to negotiate with security officials, presenting findings and recommendations, conducting security training and security briefings, providing guidance on the application and implementation of security policies and procedures.</p><ul><li>Will be required to pay union dues.</li></ul><p>Qualifications</p><p>� High school diploma and prior work experience equivalent to that of five years in the area of DoD, DoN Security Specialist management that demonstrates knowledge/understanding of applicable security regulations and instructions.</p><p>� Must have relevant experience and have used DISS, ACE, SWFT+, NP2 and e-QIP systems.</p><p>� Five years of experience with JPAS/DISS, Fingerprints systems, OPM Portal, Np2 and e-QIP Direct websites.</p><p>� Must be able to communicate effectively with all levels of military and government civilian personnel.</p><p>� Ideal applicant must be able to manage multiple tasks at one time; coordinate with other personnel within the command; work independently; and develop strategies to optimize task performance, ensure efficiency, and achieve a high level of customer satisfaction.</p><p>� Must be proficient in Microsoft Office Outlook, Word, Excel, PowerPoint and Access. General administrative/business office functions (General correspondence, scanning, copying and filing).</p><p>� Applicant should have an understanding of security principles, concepts, policies, practices and methods of security administration program gained through job experience.</p><p>� This position has been identified for the Security Professional Education Development (SPeD)Certification Program. Candidate will be required to complete their SPeD certification for security with in the first year of employment.</p><p>Physical Demands: Office Environment - - The environmental conditions consist of computer stations and desks with adequate and adjustable lighting. <br><br> Chairs are designed to fit the various individuals and the tasks being performed. Ergonomic evaluations are completed as needed, to provide up to date modifications to all work stations.</p><p>SECURITY CLEARANCE REQUIREMENTS: Must have an active security clearance at the Secret level.
