JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Office for Research and Graduate Education in the College of Agricultural Sciences at Penn State is seeking a dedicated and dynamic Administrative Support Assistant who will provide direct administrative, financial, and professional support for our on-campus greenhouse facilities as well as our off-campus Mendel's Way Greenhouse and Russell E. Larson Agricultural Research Farm facilities. These facilities are integral to the success of our faculty, students, and research staff as they conduct research to develop science-based solutions to local, regional, national, and global challenges and translate that knowledge for a broad stakeholder audience. This position requires the successful candidate to work primarily in person, on campus, and will report to the Associate Director of the Pennsylvania Agricultural Experiment Station.

Primary responsibilities include but are not limited to:

  • Supporting financial operations for greenhouse and research farm facilities that require access to university systems (such as SIMBA and SAP Concur). This includes preparing, processing, and reviewing financial transactions including invoices, shopping carts, credit card purchases, and budgetary documents for submission and approval through the appropriate University financial system.

  • Preparing purchase orders and reconciling invoices for the purchase of bulk supplies and equipment over $5K.

  • Creating and maintaining pertinent files, databases, and reports to facilitate tracking of projects and expenditures, etc., and monitoring research facility income from crop sales, user fees, and lease agreements across multiple financial accounts.

  • Aid in posting and hiring seasonal part-time wage payroll employees in Workday.

  • Composing and editing written communication, correspondence, and reports in response to unit or college administration inquiries regarding financial transactions.

  • Partnering with the farm leadership team to coordinate and schedule meetings, activities, and events as needed.

  • Serving as a point of contact and providing information and/or referring as appropriate.

  • Assisting with other administrative tasks and serving as a backup to other staff as needed.

Education and Experience:

This position requires an Associate's degree and a minimum of four years of related experience or an equivalent combination of education and experience.

The successful candidate must be highly motivated, organized, and detail-oriented while having professional written and verbal communication skills, excellent interpersonal skills, and a teachable spirit. The ability to coordinate several projects simultaneously is essential, and the willingness to adapt to dynamic situations will be critical and work as a member of a team.

Experience and proficiency in the Microsoft Office Suite is required. Familiarity with SIMBA, SAP Concur, Filemaker (or other database system), and Workday is preferred. Training opportunities will be provided.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
