Janover LLC is seeking an Administrative Support who will assistant with the administrative function and provide support to Partner and Principals within the Firm. They will also perform customer service functions, answering phones and questions.
Responsibilities will include:
Responsible to provide support to primary Partners and Principals assisting with billing, scheduling meetings, calendar management, and travel arrangements
Processing financial statements and formatting documents for various engagements
Prepares Contact Data Sheets for new clients, client address/name changes, etc.
File maintenance including Scanning and copying
Provides back-up support to Front Desk Coordinator
Assist with mailings and may run errand to the bank and various clients
Assists IT with conference room setups for video conferences and floater setups
Assist tax processing department during busy seasons
Shares in late night and weekend coverage during busy season with other administrative staff
Orders meals as needed
Busy Season group dinners
Partner's Lunch/Executive committee
Including maintain RSVP lists
Lunch and learns, client meetings, etc...
Assists Office Manager with planning of companywide events
Other duties as assigned
Position Type/Expected Hours of Work
This is a full-time position and regularly requires long hours and weekend work.
We are looking for a bright individual who is a quick learner and comfortable working in a fast-paced environment. Prior administrative experience in a professional services firm desired. The individual will need to be comfortable interacting with various personalities, and with all levels including senior management.
5+ years of administrative or equivalent related experience.
Strong interpersonal skills and communication skills.
Organized and has the ability to multitask with attention to detail.
Strong computer skills are a must with willingness to learn new software as needed, including proficient with Microsoft Office and company programs.
Must be able to handle sensitive information confidentially and professionally.
