Provides administrative and clerical services in order to ensure effective and efficient administrative operations. Assures departmental goals and/or objectives are accomplished within the prescribed time frame by performing the job responsibilities personally.

Key Responsibilities:

  • Operates computer terminal to input and retrieve data

  • Types agendas for meetings and attends, records and transcribes minutes as assigned

  • Prepares meeting packages and distributes to appropriate staff at least two days prior to the meeting

  • Compiles, transcribes, formats, inputs, edits, retrieves, copies and transmits correspondence, documents, data, reports and graphics

  • Records orders for merchandise or service

  • Receives, counts, and pays out cash, handles checks and accurately records payments

  • Operates office equipment, assures office equipment is working properly and contacts and arranges for necessary repair personnel to fix the problem

  • Records, date stamp and distributes all incoming mail, answers correspondence and processes outgoing mail

  • Compiles and maintains an up to date telephone directory of numbers and addresses

  • Files all correspondence

  • Ensures the office, reception area and/or work area are kept clean and organized

  • Assure there is adequate supply of forms and/or office supplies and orders and maintains them, as needed
