Job Description:

Personnel & Recruiting Processes

Provide support with UF Research HR functions; updating position descriptions prior to posting positions for recruitment, conducting pre-employment screenings, drafting letters of offer, inputting new hire appointments, terminations and other job-actions as needed.

Assist new employees in the completion of appropriate payroll forms, verifying information provided is correct and in compliance with department, university and federal policies

Process leave cash-outs for terminated/retired employees. Process off-cycle and emergency checks when authorized.

Provides analysis of attendance to supervisors/managers when requested.

Payroll

Through coordination with the Director, the employee is responsible for reviewing and monitoring Time & Labor. These duties include monitoring payable time, reviewing vacation and sick leave entries are entered timely and accurately, and reviewing final payroll listings bi-weekly.

Input and verify payroll distributions for new hires and current employees.

Process various payroll-related actions including leave cash-outs, on-cycle requests, emergency checks, and cross-college distributions.

Administrative Support

Process requests for graduate student travel and conference funds, including reviewing applications for travel funds, processing of approval letters, and disbursement of letters.

Coordinate travel authorizations and expense reports for UF | Research's supporting units, maintaining records of travel expenditures and ensuring payments are accurate.

Maintain knowledge of Travel and Expense policies and procedures to ensure proper compliance.

Serve as backup reconciler for assigned UF | Research employees. Knowledgeable of the PCard procedures and regulations, ensuring that there is budget to cover purchases, monitor PCard activity, review PCard reports in enterprise reporting, Provide PCard verifiers the documentation required to reconciling PCard charges. Provides information to the Purchasing PCard Team in resolving any disputable charges.

In the absence of the Executive Assistants in the Vice President's office, the employee is cross-trained to provide office coverage.

Incumbent is cross-trained to assist all areas of the office during peak workload periods.

Assist with onboarding personnel staff.

Assistance to the Director for Human Resources

Provide administrative assistance to the Director according to the daily needs and operation of the Office of Personnel and Administrative Services. This includes performing errands, scheduling meetings and interviews, reporting services/repairs needed, filing, typing, and acting as a receptionist for the Office of Personnel and Administrative Services.

Effort & Space Certification

Serve as back up to Administrative Specialist for Space and Effort Certifications.

Other duties as assigned

The successful applicant will support the administrative needs of the department. Departmental Support * Incumbent will be responsible for answering all main departmental lines and receiving messages appropriately. Must screen calls for importance and relay information to the appropriate person in a timely manner. * Submit PHHP Travel Authorization Requests (TARs) and prepare travel reimbursements for department faculty, and any other tasks as required by the traveler. * Individual will sort mail and maintain department mailboxes. * Serve as point of contact for ordering and storing departmental supplies, maintaining printer area and facilitating any printer needs. * Responsible for assisting the Seminar committee including but not limited to arranging for travel for the seminar speaker, creating agendas and setting up meetings, escorting speaker to meetings, preparing for seminar (reserving rooms, invitations, etc.), and for reception arrangements (catering, invitations). Individual will also collect and prepare speakers' travel expense reports which includes obtaining receipts and completing internal travel expense statement. * Individual will manage seminar and faculty meetings via Zoom and in person meetings, by scheduling meetings, sending invitations, taking attendance, and minutes as needed. * Assist with distributing special event announcements through listservs. * Provide departmental support for reserving fourth floor conference rooms and shared space, maintaining a kitchen cleaning schedule, assisting with office gatherings and celebrations, and cleaning out spaces where faculty/students/staff have left, etc. * Manage faculty leave including but not limited to collection of leave applications, reviewing for accuracy, and routing to the Chair for approval. * Work with the Administrative Specialist II in writing monthly newsletter articles distributed by the College regarding recent news and events in the department. Administrative Support * Support for the Chair: Manage calendar and travel for the Department Chair, schedule meeting with the Chair, take meeting minutes as needed, provide administrative support for personnel and academic program management including directed student, employee, and constituent communication, meeting minutes, demographic and related data collections and tabulation, and organization of activities and materials. * Provide administrative support for departmental meetings including scheduling, preparing agenda and, taking and distributing meeting minutes. * Provide administrative support to chair, faculty, and department staff for personnel and academic program management including directed student, employee, and constituent communication, demographic and related data collection and tabulation, and organization of activities and materials. Web Support * Department of Epidemiology website support including but not limited to posting current job openings, posting faculty and student publications, student accomplishments, and seminar announcements. * Ensure that all faculty have up-to-date CVs and bios posted appropriately on the Department website, which includes maintaining monthly faculty CV tracker.
