Therapeutic Associates - Medford Physical Therapy has an opening for an Administrative Supervisor. The Administrative Supervisor will perform all duties necessary to coordinate the efficient work flow of the clinic staff, patients and other customers. The responsibilities of the role include but are not limited to managing all front office duties, such as, insurance authorization and billing, registering patients, answering phones, scheduling patient appointments, and maintaining the integrity of the patient database to provide timely, accurate and efficient work flow processes. Additionally, the Administrative Supervisor communicates with third-party vendors, patients, and insurance carriers to verify insurance benefits, collects co-pays, co-insurance, and fees and reconciles clinic accounts. This position is also responsible for patient and other records.

Minimum Qualifications

  • Associate's degree or equivalent experience

  • Two years of prior medical office work experience, preferred

  • Two years customer service experience

  • Working knowledge of medical insurance billing or coding

Responsibilities GENERAL SUMMARY: Administrative professional who will support the on-site Executive Team Member via a wide range of administrative, technical and clerical responsibilities. ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned as appropriate and necessary). Ø Gatekeeper (35%) * Answer the door and door phone to greet visitors * Execute Visitor Policy, including identifying visitors and assigning visitor credentials, as necessary * Notify pertinent staff when visitors arrive · Maintain a current overall site roster of active employees, contractors and vendors· Work with PCG Property Management to ensure up-to-date staff and vendor access levels · Take and submit photos for access badges· Maintain, secure & distribute access Day Passes · Maintain lobby area and interview room Ø Additional Administrative Responsibilities (35%)· Order, track, and disseminate office supplies * Serve as the primary point of contact for property management and site vendors * Submit maintenance requests * Forward invoices to PPL Finance * Maintain Managerial PTO Calendar * Calendar meetings/activities associated with site visitors * Track incoming equipment (procurement) orders * Inspect facility to ensure compliance with Corporate standards Ø Business Continuity Assistant (20%) * Work in conjunction with Business Continuity Coordinators * Update and maintain Business Continuity Platform * Scheduling of table top exercises and simulations * Maintain roster of contact information for all site staff Ø Administrative Assistant of the Associate Manager (10%) * Actively manage the calendar of the Associate Manager * Secure travel arrangements & reservations for the Associate Manager * Execute work-related purchases, as directed by the Associate Manager * Take & execute messages on behalf of the Associate Manager Qualifications EDUCATION and/or PREVIOUS EXPERIENCE REQUIRED (include any required certificates, licenses and registrations): Education: High school diploma is required.
