General Responsibilities:

Performs administrative and general office duties of a responsible and confidential nature. Produces a variety of correspondence, reports, and presentations using the appropriate software for word processing, graphics, and spreadsheets. Screens telephone calls and visitors. Schedules and maintains calendar of appointments, meetings and travel itineraries and coordinates related arrangements. Routes or answers routine inquiries. Maintains files, department office supplies, mail, and deliveries. Prepares special reports. Gathers and summarizes data. This position is also responsible for managing company fleet vehicles. May serve as a liaison between office and corporate functions. May be assigned to various functional areas of the company.

Essential Roles and Responsibilities:

  • Under direct supervision, provides general administrative support to a department and/or group of professionals of a basic and routine nature.

  • Screens calls and forwards messages. Greets visitors and informs office staff of arrival.

  • Review and format correspondence, documents and spreadsheets. May input data into databases.

  • Composes, prepares, edits and proofreads letters, reports and other correspondence.

  • Compiles and analyzes basic information for inclusion in reports or presentation materials, prepares charts, graphs or tables as necessary.

  • Receives and responds to routine correspondence following established procedures.

  • Maintains files of correspondence, reports, records and contracts.

  • Opens, sorts and routes mail to the appropriate persons on a daily basis.

  • Receives and Sends FedEx, UPS, and other deliveries or shipments.

  • Makes copies and files various documents.

  • Schedules company fleet maintenance and monitors fleet usage, which requires driving company vehicles.

  • May handle calendaring, travel arrangements, process expenses/invoices, and coordination of day-to-day activities.

  • Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.

  • Be responsible for maintaining quality standards on all projects.

  • Remain cognizant of office tidiness and bringing any office safety issues to the attention of their supervisor.

  • In an Office location, assist and provide support to the Administrative Manager or designated CSR with one or more of the following activities supporting the corporate office including:

  • Human Resources, Accounting or Health/Safety

  • IT and computer related issues

  • Collections and billing

  • Motor vehicle and fleet


  • High school diploma or equivalent.

  • Full understanding of the Microsoft Office 365 Suite, particularly Word and Excel.

  • Valid driver's license with acceptable violation history.

Incumbent manages, directs, and coordinates center-based nutrition services, home delivered meals, and the farmer's market program for the older consumers of Allegheny County.  The incumbent has knowledge and comprehension of nutrition to advise on technical matters and serve as a resource on the subject.  The incumbent acts with considerable independence in the administration and oversight of the DHS/AAA Nutrition Program.  The Administrative Officer 2 will also be involved in the overall coordination of the senior center component of the Community Based Services Division.  Reviews, analyzes, and implements policies and procedures as established by Federal, State, and County regulations governing the Nutrition Services Program for the Division and for contracted provider network.  Develops and analyzes menus for the congregate and home delivered meal programs using the Food Processor Program (Nutrition Analysis Software).  Coordinates distribution of menus to provider agencies, county website, and monthly publications. * Full-time employment. * Work hours are 8:00 a.m. to 4:00 p.m. Monday through Friday with an hour lunch period. Receipt of a Covid-19 vaccination: You must provide proof of a Covid-19 vaccination. You will need to be fully vaccinated or have at least one shot of a two-shot series before beginning work. If you do not receive and provide proof of the second shot within 30 days your probationary employment will be terminated.  Allegheny County will allow for medical and religious exemptions from the requirements in accordance with state and federal law.
