About this position:

We are seeking an Administrative Staff Analyst to join the Waterfront Team. This position supports the Waterfront Operations and is responsible for scheduling, administrative Mithun/Bakun building oversight, park performance analysis coordination, budget coordination and preparation, revisions and reforecasting, as well as other tasks.

Here is more of what you will be doing:

Budget & Finance

  • Review and analyze Waterfront Park Operations budget to ensure aligning with Seattle Park District funds and spending plan.

  • Prepare analytic reports for management to review on an ongoing basis.

  • Responsible for day-to-day purchasing for administration, maintenance, landscaping and emergency services.

  • Management of Seattle Park District tracking. Develop management system to further report on expenditures and cost of operations as the park fully opens.

Data & Systems Management

  • Creation and management of Waterfront SharePoint

  • Develop, implement, and manage a system for managing and tracking operations manuals, warranties, and assets.

  • Oversee the technology infrastructure of the waterfront team in coordination with Seattle Center staff, which includes software, hardware, and devices.

  • Implement internal systems to align with the Waterfront Performance Standard Baseline criteria to ensure that Seattle Center is set up to successfully deliver on park performance.

  • Coordinate and develop reporting metrics with Waterfront Advisor to do annual review on the Performance Standard.

  • Manage work order system, including inputting, assigning, closing out, and reporting on ongoing data.

  • Manage communications system, Consultation Manager, that tracks all outreach/engagement/complaints and concerns pertaining to Waterfront Park.

  • Lead for the waterfront team on Alert Media system, ensure all alerts are responded to, and all staff are trained for use.

Partnership and Communication

  • Prepare high level briefings and help develop and produce annual reporting to Executives, Mayor, and Council on waterfront operations.

  • Develop and review high level presentation materials for Waterfront management to brief partners/stakeholders/Executives

  • Delegate action, draft responses, and track communications. Manage the feedback and close out process with customer internally and externally, and other duties as assigned.

  • Develop and implement large scale communications system between all key partners/ stakeholders on events/programs/rentals/maintenance that impact portions of the park.

Administrative Support

  • Coordinate and lead complex scheduling across City Departments, as well as various partners/stakeholders to the waterfront.

  • Lead on coordination with the waterfront operations management team and HR to develop hiring timelines and administer hiring processes, as well as track and oversee other human resource processes and needs, including training.

  • Lead scheduling, communications, meetings, and materials (including web updates) for the Central Waterfront Oversight Committee.

  • Coordinate across city executives' offices for mayoral priorities, legislation, briefings and coordination.

  • Track agreements and deliverables related to park management.

Facility Management

Oversight and management of the Waterfront Operations Center, the hub for waterfront park operations, which will include:

  • Daily facility management, including coordination with all partners co-located within the facility.

  • Ensure the facility is up to codes and standards and is operational

  • Manage the allocated budget for the operations center in partnership with Othre City departments.

  • Contract with necessary third-parties for any coordinated work or ongoing services

  • Ensure lease standards are being met with the Muckleshoot Indian Tribe.

Minimum Qualifications:

  • Requires two years of administrative experience and a bachelor's degree in business or public administration or related field (or a combination of education, training and/or experience that provides an equivalent background to perform the work of the class).

You will be successful in this role if you have:

  • A belief in delivering a positive park user experience with high quality customer service.

  • Competency with work order systems, databases, Microsoft Office Suite, Acrobat, and other analytical software.

  • Experience with financial processing (accounts payable & receivable) and budget forecasting.

  • Experience working in fast-changing event atmosphere.

  • Operate with a strong equity lens in decision making.

You will be ready to take on this role if you have:

  • The ability to work independently to meet deadlines while also supporting other coworkers.

  • The ability to adapt communication styles to effectively develop relationships with others.

Work Environment/Physical Demands:

  • The work is performed in an office environment. Hybrid work arrangements will be considered.

The full pay range for this step-progression position is $43.97 - $51.22 hourly. New employees begin at step 1 of the pay progression, which is $43.97 hourly. Current City employees starting rate of pay will be based on Personnel Rules regarding promotions.
