The Administrative Specialist position is located in the Legal Division of the Clerk's Office of the U.S. Court of Appeals for the D.C. Circuit. The Administrative Specialist provides administrative support to the Director and Deputy Director of the Legal Division and Staff Attorneys. The Administrative Specialist also provides operational support related to case processing and management. The position is permanent and full-time.

Administrative Specialist duties include, but are not limited to: performing general office management duties; monitoring status of case-related matters pending in the Legal Division; performing duties related to the processing of court orders; preparing reports, memoranda, and form letters; editing and proofing materials prepared by others; working with a variety of computer programs, including the court's electronic case filing system; providing human resources assistance; serving as liaison to chambers and all other court support units; scheduling conferences with Judges; organizing and delivering files to Judges and Staff Attorneys; and performing receptionist duties.

All positions in the Clerk's Office are excepted appointments and are "at will". Selected applicants will serve a one-year probationary period.
Employees must adhere to the Code of Conduct. Employees are subject to strict confidentiality requirements.
The successful candidate is subject to a background check and will be considered a provisional employee pending a favorable suitability determination.
Applicants must be United States citizens or eligible to work for the United States government.
Emergency after-hours duty is required on a rotating basis with other employees.


High school graduate or the equivalent. A bachelor's degree is preferred.
Two years of general experience. General experience consists of progressively responsible clerical, office, or other work that indicates the possession of, or the ability to acquire, the particular knowledge and skills needed to perform the duties of the position. Education beyond the high school level may be substituted for the required general experience. One academic year (30 semester or 45 quarter hours) equals one year of general experience.
A minimum of one year of specialized experience. Specialized experience consists of progressively responsible clerical or administrative experience that demonstrates the particular knowledge, skills, and abilities to successfully perform the duties of the position, and includes experience in word processing, data entry, and report generation. Prior federal court or legal administrative experience is desirable.
The successful applicant must have exceptional organizational and time management skills and the ability to handle multiple tasks simultaneously. Excellent written and oral communication skills are required. The successful applicant must be self-directed and able to communicate effectively with the legal and judicial community as well as the general public. Attention to detail and proficiency in document preparation, file maintenance, and record keeping are required. Excellent computer skills are essential.

Duties, Tasks and Responsibilities: * As applicable and appropriate, assists the GSD Specialist in filing purchase card statements, contract administration, directing work assignments for GSD Tracker, clearing personnel (ensuring FOBs, BB, protective mask, and travel cards are turned in), preparing Visitors Access Reports (VAR), and coordinating office moves; * Assists the GSD Specialist in dispositioning of files, and with emergency management actions; * Supports the GSD Director and GSD Branch Chief's in all GSD Administrative function areas; * Provides administrative support to Directorate managers, including making travel arrangements, office logistics, supply inventory, and other special administrative support as required by the Directorate; * Handles incoming/outgoing correspondence, reviews and distributes incoming correspondence to appropriate action officers or staff; collects and reviews outgoing correspondence for neatness, accuracy and proper handling and maintains related office chronological file; * Escorts personnel as required; * Establishes and maintains official files on specific subject matters; * Assists with coordinating meetings, scheduling conference rooms, monitoring leave for staff personnel, ordering supplies, and other administrative duties; * Works with the CA Special Assistants to monitor internal tasks, deadlines, and deliverables; * Receives and screens telephone calls and visitors; follows up to ensure necessary action is initiated, and subsequently works to assure that such action is completed as quickly as possible, as applicable and appropriate; * Enters all forms of correspondence in final form including cables, memorandums, letters, briefing papers, etc.; * Maintains the calendar for office management by arranging and scheduling appointments, handling all meeting requests and providing calendar information to management on a daily basis; * Prepares meeting briefs to managers indicating appointment purpose and providing any relevant background data; * Records minutes from meetings and prepares briefings materials; * Serves as a T&A administrator; prepares and maintains T&A report; maintains and monitors office leave schedule as directed by the COR and/or GTM; * Performs other appropriate administrative assignments such as document replication, ordering office supplies, inventorying office supplies, and other administrative duties as assigned; * Maintains work area in a professional manner at all times (work area must be clean, presentable, and organized, per COR guidance); * Ensures automation equipment is operational (paper in the copier/fax machine, changes out printer ink cartridges, calls in work orders); * Assists with setting up conference calls, coordinating with IT personal to setup conferences requiring IT support; * Assists with prepping conference rooms before and after social events and official events during the work day; and * Assists with setting up and cleaning up official office events. Required Experience: * Knowledge of Microsoft Office software (Excel, Word, PowerPoint, Access, etc.); * Familiar with GSD Tracker; * Familiar with ILMS & GFMS; * Excellent filing skills.
