The Administrative Specialist in the College of Science & Technology provides administrative support for the day-to-day operations of the Institute for Genomics and Evolutionary Medicine (iGEM). Under general supervision, completes administrative tasks, such as management of faculty calendars and contacts, screens incoming calls and correspondence and responds independently when possible. Prepares records, agendas, notices, minutes, and resolutions for meetings. Composes and prepares confidential correspondence, reports, and other complex documents (i.e RA appointment forms, Visa applications, etc.). Arranges detailed travel plans and itineraries, compiles documents for travel-related meetings, prepares and reviews forms and specialized reports. Purchases supplies and equipment, keeps detailed records of all budget transactions, processes all reimbursements for faculty and staff. Performs other duties as assigned.

Required Education and Experience:

At least two years of directly related experience. An equivalent combination of education and experience may be considered.

Required Skills and Abilities:

  • Proficiency with Microsoft Office Suite, particularly Excel.

  • Ability to manage and prioritize several complex tasks simultaneously.

  • Ability to learn new tasks and software, and work with minimal supervision.

  • Ability to interpret and carry out general instructions.

  • Strong interpersonal skills and attention to detail.

  • Ability to operate standard office equipment.

  • Excellent written and verbal communication skills.

  • Excellent customer service skills, along with the ability to effectively interact with a diverse population of students, faculty and staff.

Preferred:

  • Experience in an academic research environment.
