Job Summary

Scottsdale Community College (SCC) is seeking a full-time Administrative Specialist Sr. This position will provide advanced administrative office support, secretarial support, program coordination activities and/or administrative tasks as assigned. This position offers full-time benefits with thirty (30) hour work weeks.

Essential Functions

25% - Provides advanced administrative office support, secretarial support, and/or program coordination activities to the Communication and Film Humanities Department. A major responsibility in this position is problem solving and interpersonal skills that are needed on a daily basis and used with faculty, students, staff, and community members. Ability to operate a PC and/or MAC utilizing many software programs, including but not limited to Google Applications including Mail, Docs, Sheets, Drive, Slides, Microsoft Word, Excel, Power Point, Student Information System(SIS), Financial Management System(FMS), Tableau, Class Rosters, 25Live Event, Reporting Information System V2(RIS),Trac Ikon online copy system, MySCC, Helpdesk, edoptions (Follett's online textbook ordering system) and SCC Employee Intranet and etc new technologies.

  • Maintain and update the Communication and Film Humanities Department schedule by following established policies and entering information into (SIS) Student Information System. Complete SCC Class Change Request Form for scheduling change requests. Prepares paperwork for any course fee changes and adjunct faculty overload. Advises and assists students with class and course information. Updates internal daily Google Doc and reviews Tableau reports for schedule accuracy. Sends emails and/or calls students via Class Roster regarding changes to classes and/or schedule. Schedules Department meetings and events.

25% - Directly works with students, faculty, staff and the general public. Screens and routes calls/emails and visitors. Provides a variety of information requiring specialized knowledge of the assigned area. Accesses class rosters, makes copies, provides basic copier and computer-related support. Prepares promotional materials for the Department via Marketing. Outreaches to potential COM & HUM Majors. Manages informational emails to faculty. Acts as a liaison between the instructors and Department Chairs. Maintains professional correspondence with other administrators and external organizations; coordinates and provides research and technical assistance on special projects and programs.

25% - Administers the operations for the Department of Communication & Film Humanities including but not limited to: ProCard purchases, requisitions, purchase orders, petty cash, official function forms, insurance waiver requests, guest speaker paperwork, travel paperwork, book adoptions, etc. Maintains files/electronic files for budgets academic records, schedules, textbook orders, correspondence, faculty applicants, final exams, syllabi, office hours, etc. Orders office supplies for faculty, staff and classrooms. Maintain confidential personnel files and process related documents which may include payroll records and evaluation information for residential and adjunct faculty. Adheres to applicable policies and procedures and performs other duties as assigned.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

B. One or more years experience with Student Information Systems (SIS), Financial Management Systems (FMS), Human Capital Management Systems (HCM), Google applications, Tableau Reports and/or facilities scheduling systems (25Live Event Scheduling), RIS.

C. One or more years experience managing course scheduling, monitoring budgets, tracking & managing course & department data and activity.

D. Evidence of training in diversity & cultural competency.

E. Experience working in educational team settings, including contact with faculty, students, staff & public.

Special Working Conditions

  • Travel to campus during the interview/selection process will be at the candidate's own expense.

  • May be required to work evenings and weekends.

  • May require prolonged periods of sitting and viewing a computer screen.

  • May be required to lift or carry up to 25 lbs.

  • Will be required to work in an area of light to heavy noise levels daily
