Description
The Kentucky Department of Education (KDE), Office of Career and Technical Education, Division of Technical Schools and Continuous Improvement, Morgan County Area Technology Center (ATC) in West Liberty, Kentucky has an opening for an Administrative Specialist Senior.
This position is essential to the operation of the school as it provides assistance to the principal as well as students, public, and staff.If you are ambitious, willing to help students achieve their career path, and work as a team member this may be the job for you!
DUTIES AND RESPONSIBILITIES:
Provides professional support to the Area Technology Center (ATC) Principal in developing, implementing and maintaining various programs, projects or activities in the area center.
Provides professional support to the ATC through preparation of school related documents and provides guidance according to policy and procedure on budgetary and accounting matters including, but not limited to MyPurpose, staff travel reimbursement, purchasing procedures, inventory and KTS attendance.
Maintains data and reports for TEDS (Technical Education Data System) and Infinite Campus daily.
Works closely with principal to ensure accurate validation of data for accountability benchmarks.
Provides recommendations to principal on appropriate accounting procedures and budgetary concerns related to Perkins Grant and SEEK (Support Education Excellence Kentucky) funding programs and other funding sources.
Provides information to KY Tech administration as needed related to budgets, procurement, Infinite Campus and travel reimbursement.
Executes all functions pertaining to eMars including appropriate forms, quote solicitation and correct accounting codes.
Drafts correspondence, memorandums, reports or other responses that require the interpretation and application of policies and procedures.
Serves as liaison between the ATC and feeder schools for matters of attendance and transcripts.
Organizes and monitors procedural work in the ATC.
Maintains inventory log and submit annual inventory report for the ATC.
Ensures staff completes the necessary forms for payroll and personnel and review for accuracy.
Submits personnel and payroll forms to assigned HRG upon request.
Provides research for information for the principal using various options.
Prepares spreadsheets for reconciliation for the student organizations.
Maintains bookkeeping for dues, conference registrations and industry donations before forwarding to central office.
Interprets and provides guidance related to budgetary, financial and time recording policy and procedures for ATC staff.
Makes travel arrangements for the ATC principals/instructional staff. Including completion of travel reimbursements, state park inter account forms, out of state authorizations, etc.
Coordinates all necessary arrangements for meetings and trainings.
Performs other duties as assigned.

Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor's degree.
EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
