This position functions as a member of the administrative group that processes the requests and directs requests for the services performed by the maintenance staff and coordinates with the main yard along with keeping supervisors and management up to date on materials and equipment status for work orders/projects.

Position duties may include, but are not limited to:

  • Performing Accounts Payable actions (processing employee expense reimbursements, reconciling credit card transactions, and preparing invoices for payment)

  • Entering requisitions and tracking/receiving purchase orders in our procurement system

  • Track and request office equipment service contracts.

  • Processing equipment surplus and monitoring asset inventory.

  • Ordering supplies and entering usage orders in NCFS

  • Internal mail distribution

  • Data entry into the Computerized Maintenance Management System (MMS) and to generate reports for maintenance work orders.

  • Reconciliation of time and materials to work purchase orders.

  • Accurately entering vehicle mileage logs into the Vehicle Management System (VMS)

To properly execute this work, the selected applicant must learn and understand policy and procedures for all duties and continuously seek to improve work processes. The applicant will also communicate frequently with internal and external stakeholders and should have excellent verbal and written communication skills. Finally, the applicant must have experience using Microsoft Office, and other business and/or accounting systems.

This is a full-time position (40 hours per week) with State Benefits.

About the Department of Adult Correction (DAC)

The North Carolina Department of Adult Correction is responsible for the care, custody, and supervision of all adults sentenced after conviction for violating North Carolina laws. This department includes State Prisons, Correction Enterprises, the Division of Community Supervision, and the Division of Rehabilitation & Reentry.

To qualify for this position, applicants must document on the application that they possess ALL of the following:

  • Documented experience in at least two (2) of these critical areas: purchase order creation and tracking, funds reconciliation, paying invoices, and processing travel reimbursements.

  • Demonstrated experience with Microsoft Office, specifically Outlook (calendar, email, tasks), Excel (spreadsheet creation and formatting, formulas) and Word (formatting correspondence, spell check).

  • Proven experience using electronic accounting and/or business systems.

Management Preference

  • Candidates with greater than 2 critical areas of experience.

  • Demonstrated experience using DocuSign and SharePoint.
