Job Description

Job Title: Administrative Specialist Grade:12B

Reports to: Principal or other Administrator

Summary of Duties and Responsibilities: This is advanced clerical and secretarial work of considerable responsibility and difficulty.

Employees in this class are responsible for the performance of a variety of complex clerical and secretarial tasks requiring computer skills and the application of considerable independent judgment and knowledge of departmental practices and procedures in their execution. Emphasis is placed on relieving a senior administrative official of significant administrative detail and carrying out complex and responsible clerical work with a minimum of supervision.

Work is reviewed by supervisors through observation of operations and examination of final work products. Supervision may be exercised over other clerical personnel. Incumbents in this position may work in a specialized area such as curriculum development, human resources, etc.

Essential Duties and Responsibilities: Serves as secretary to a senior administrative official; prepares correspondence, memoranda and other documents; screens calls and callers; answers inquiries from the public; makes appointments; composes correspondence for superior's signature; organizes and maintains a filing system; researches and prepares data in support of senior administrator; serves as personnel assistant; prepares advertisements for vacant positions; receives and files applications; supervises testing of candidates; prepares personnel action forms; sets up vacation and sick leave records, personnel files and other records.

Assists in the preparation of the departmental budget for the senior administrator; assembles information; arranges it into appropriate format; assembles final document.

Prepares purchasing documents within the scope of the District's purchasing policy.

Performs related work as required.

Minimum Qualifications:
Thorough knowledge of business English, spelling, punctuation, mathematics and computer software including, but not limited to, Microsoft Office products.

Thorough knowledge of modern office practices and procedures;

Ability to carry out a variety of complex clerical and secretarial functions with a minimum of supervision.

Ability to maintain a variety of complex records, to assemble and organize data and to prepare reports from such records;

Ability to establish and maintain effective working relations with employees, superiors, subordinates, public officials and the public;

Ability to operate a variety of office machines;

Speed and accuracy in keyboarding expected;

Considerable experience in performing computer and clerical work of a progressively responsible and difficult nature;

Must pass District's skill test;

Graduation from an approved high school including or supplemented by business/computer courses or other training related to the work position.

Physical Demands:

  • Must be able to perform essential functions of the job with or without reasonable accommodations

  • Hand-eye coordination is necessary to operate computers and various pieces of equipment

  • While performing the duties of this job, the employee is frequently required to sit, stand, walk and bend

  • While performing the duties of this job, the employee may be required to occasionally lift and/or move item(s) up to 36 lbs.
