The Administrative Specialist is responsible for ensuring the smooth operation of our organization. This position requires careful attention to detail, a knack for solving problems, a passion for meeting deadlines, and a talent for creating and executing organizational systems.
Responsibilities
Coordinate all aspects of the Salesforce database, including data entry, pulling mailing and email lists, and implementing processes to improve data hygiene.
Provide excellent customer service to donors and public program ticketholders, including answering emails and phone calls and mailing out purchased items. Support recurring donors with updating credit cards.
Generate acknowledgement letters for donations and lead registration at our annual fundraising event.
Support HR and administrative needs, including insurance, payroll, bill payment, and overall recordkeeping.
Work with contract bookkeeping service to ensure accurate data entry into QuickBooks. Generate invoices and pay bills. Make bank deposits and reconcile petty cash and other assets.
Support and troubleshoot computer and software problems. Create and maintain processes to ensure IT security.
Order office supplies and track inventory.
Help to nurture and sustain a warm, welcoming, collegial, and respectful organizational and office culture; uphold, practice, and implement our core values of respect, writing, and community; and interact with our participants, volunteers, agency partners, donors, and the general public.
Other duties as assigned.
