Position Purpose:

The purpose of the Administrative Specialist I position is to provide administrative, clerical, and receptionist support to the various departments. This position will handle routine office duties and work closely with the Office Manager to ensure that the office functions efficiently and effectively.


Essential Functions and

Responsibilities:
  • Perform administrative assistant support tasks; type correspondence, compile data for expense and statistical reports.

  • Operate telephone as receptionist to answer, screen and route calls for the office; relay messages

  • Greet and answer inquiries from general public, customers and visitors; route and resolve information requests with a customer service focus

  • Process outgoing mail and receive deliveries

  • Type correspondence; compile data for expense and statistical reports

  • Coordinate space and office organization; maintaining paper and electronic files

  • Filling duties for the office

  • Assist with AP and AR duties as clerical support for the office, but not ultimately responsible for them

  • Print out blank contracts for staff Bulletins, Posters, Commercial, and Digital

  • Create excel spreadsheets for clients and Sales Account Executives

KNOWLEDGE, SKILLS, AND ABILITY REQUIREMENTS Requires an excellent command of the English language, both written and verbal

  • Skill in speaking with persons of various social, cultural, economic, and educational backgrounds

  • Requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines

  • Strong work ethic someone who takes great pride in professionalism, responsibility, and is proactive

  • Must be able to work independently and as a team member

  • Must possess proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

  • Ability to use fax machine, copiers, scanners and binding machines

  • Requires the ability to handle different challenges each day and adequately prioritize those demands

EDUCATION AND EXPERIENCE REQUIREMENTS High school diploma or Equivalent required

  • Associates degree, business school certification, and/or some college preferred

  • A minimum of 6 months of office experience is required. In lieu of experience, college education will be accepted.

  • Or another equivalent combination of education and experience

  • A driver's license is preferred.

PHYSICAL DEMANDS AND WORK ENVIRONMENT The primary work environment for this position is the office.

  • The physical demands for this position include light lifting, seeing (with a focus on reading, acuity, depth perception, and peripheral vision), sitting more than 50%, and talking.

  • Nights spent traveling, away from home, are less than 10%.

The Administrative Assistant will support the Regional Vice President of Sales based in Texas and contribute to the management of all functions related to the office and its many stakeholders, internally and externally. Responsibilities: Completes a broad variety of administrative tasks, including managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging detailed travel plans, itineraries and agendas; compiling financial and other types of documents for meetings; completing expense reports. Attends a variety of department meetings, compiles status reports and communicates to Executive Leadership Team in a timely manner. Handles project management for various special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, adjusting plans and follow-up. Plans, coordinates and ensures the executive's schedule is followed and respected. Is an effective gatekeeper, creating win-win situations for direct access to the executive's priorities and projects. Researches, prioritizes and follows up on incoming issues and concerns addressed to the executive, including those of a sensitive nature. Determines appropriate course of action, referral or response. Prioritizes conflicting needs; handles a wide array of matters expeditiously, proactively and follows through on projects to successful completion, often with deadline pressures. Communicates as needed, directly, and on behalf of the executive with senior leadership, employees, community leaders and others on matters related to the executive's priorities and projects. Assists the executive with planning and executing companywide presentations, events and initiatives. Other duties as assigned. Requirements: * 2+ years' experience as an Executive Assistant. * Bachelor's degree preferred. High school diploma required. * Intermediate level MS Office skills including Outlook, Word, Excel and Power Point. * Excellent organization and time management skills. * Expert level written and oral communication skills; strong proofreading and editing skills are required. * Strong interpersonal skills and the ability to build relationships with stakeholders, including members of the community, leadership and staff at all levels. * Demonstrated proactive approaches to problem-solving with strong decision-making capability. * Forward looking thinker who actively seeks opportunities and proposes solutions.
