Summary of Job Duties:

The Administrative Specialist III serves as the receptionist and administrative support for the Counseling Services (CS) department. In this role, the incumbent will collaborate with various units across the university. This position is governed by state and federal laws and agency/institution policy.

Qualifications:

Required Education and/or Experience:

  • The formal education equivalent of a high school diploma, plus one (1) year of specialized training in business management, business education, or a related field.

OTHER JOB-RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS.

Preferred Education and/or Experience:

  • Experience with Banner and Workday.

Job Duties and Responsibilities:

  • Reliable attendance and dependable performance;

  • Serve as the receptionist and facilitate students' connection with CS counselors and educational resources;

  • Assist in creating reports, forms, brochures, and other CS educational materials;

  • Ensure fax, copy machine, and network printers are maintained, and all contracts for their services are in order;

  • Maintain an adequate supply of paper and other office supplies for CS staff;

  • Facilitate purchasing and travel by ensuring the necessary processes are completed and submitted in a timely manner;

  • Provide support to CS staff as they plan, prepare, coordinate, and implement programming and activities;

  • Maintain an accurate accounting of CS budgetary obligations and organizational expenditures;

  • Run errands on campus;

  • Manage the CS website and social media platforms;

  • Open the office each morning, ensuring that all systems are operational, supplies are ready, and the environment is prepared for business activities;

  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Ability to provide a welcoming environment for individuals seeking CS services by phone, email, or in person is a must;

  • Ability to work with confidential information;

  • Ability to prioritize and maintain office workflow while assisting students seeking services;

  • Demonstrated general computer skills and competence with Microsoft Word, Excel, and PowerPoint;

  • Knowledge of Banner and Workday, especially purchasing and budgetary forms required;

  • Education, training, and/or experience demonstrating competence in each of the following areas: communication skills, word processing, financial spreadsheets, budget management and bookkeeping, organizational skills, professionalism, and customer service.
