Summary of Job Duties:

The Administrative Specialist III will serve as the receptionist and administrative support for the School of Criminal Justice and Criminology. In this role, the employee is required to collaborate with various units within the college and the university. This position is governed by state and federal laws, and agency/institution policy.

Qualifications:

Required Education and/or Experience:

The formal education equivalent of a high school diploma; plus one (1) year of specialized training in business management, business education, or a related field; plus three (3) years of experience in specialized or a related field applicable to work performed.

OTHER JOB-RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS.

Job Duties and Responsibilities

  • Operate and manage the SCJC office, including general duties such as preparing letters, filing, emails, phone, and a receptionist

  • Respond to inquiries from students, staff, faculty, and the public, and direct inquirers

  • Maintain the department budget, initiate purchase requisitions, and monitor expenditures

  • Manage the department lease and purchase contracts, including office equipment, and office and supplies

  • Maintain the school's records, faculty and staff personnel records, and students' academic records

  • Coordinate the department course schedule and instruction budget with the dean's office, and textbook requisition with the bookstore.

  • Coordinate academic advising for the department. Lift flags for all students to enroll in classes.

  • Serve as a liaison with all adjunct and part-time faculty members

  • Supervise work-study students

  • Initiate EPAF for faculty, staff, and student employees, provide online timesheet entry for faculty and student employees

  • Manage the course and instructor evaluation process, and assist faculty in service projects to the department

  • Assist in making travel arrangements for visitors, faculty, and staff, and in filing for travel reimbursement

  • Interpret university and college administrative directives, policies, and procedures to ensure consistent application

  • Assist supervisor by maintaining leave records, appointment calendar, and prioritizing incoming correspondence

  • Assist in research and analysis of data pertinent to the School

  • Assist in preparing reports, newsletters, outreach materials, and other documents

  • Maintain proficiency in University computer programs and software applications

  • Prepare, present, and review oral and written information and reports

  • Adhere to established office hours of Monday through Friday from 8 am-5 pm with a lunch break of one (1) hour between the hours of 11 am-1 pm

  • Attend and assist with school meetings by taking attendance and minutes, transcribing minutes, and disbursing minutes to faculty and staff promptly

  • Performs other duties as assigned.
