Summary of Job Duties:

The Administrative Specialist III provides front-line assistance to all Information Systems (ISYS) faculty, staff, students, and guests. The position assists faculty by processing travel authorizations, making travel arrangements, and processing travel reimbursements; processing purchasing needs; and assisting with other scheduling and administrative requests pertaining to faculty teaching roles. This position assists the director of the PhD program, the assistant department chair (e.g., with respect to the undergraduate program), and the director for Enterprise Systems. The Administrative Specialist III establishes and maintains an extensive electronic filing system; answers the main telephone line, retrieves, routes, and sends mail, greets and directs visitors, and maintains office supplies. This position composes, types, and edits reports and letters and other paperwork; assists as needed with copying, faxing, and scanning; makes room and catering arrangements for meetings and processes payments; tracks and manages budget expenditures for Enterprise Systems accounts and some Information Systems accounts; coordinates faculty textbook requisitions; and assists with newsletters and website updates.

Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.

  • The formal education equivalent of a high school diploma

  • At least one year of specialized training in business management, business education, or a related field

  • At least two years of experience in a specialized or a related field applicable to work performed

Preferred Qualifications:

  • Bachelor degree from an accredited institution of higher education

  • At least one year of University of Arkansas Workday FDM system experience

  • At least one year of work experience in higher education

  • At least one year of customer service experience

Knowledge, Skills, and Abilities:

  • Excellent communication skills, customer service excellence, and demonstrated professionalism

  • Ability to comprehend and assimilate technical and business-related documents

  • Ability to work independently, as well as with a team

  • Ability to multi-task and to be detail oriented
