Job Responsibilities

Purpose: The CAREERS (College Activities Reap Educational Experiences Resulting in Success) Administrative Specialist II is responsible for serving as frontline contact for the CAREERS Program, providing excellent customer service, and administrative support and assistance to the Director of CAREERS and TRiO Programs (CTP). CAREERS Program staff, and CAREERS Program participants, performing established processes and procedures in support of program goals. and objectives in order to ensure efficient and effective operations.

Serves as frontline contact for the CAREERS Program, provides excellent customer service, ensures office is opened and prepared for daily operations, provides direct administrative support and assistance to the Director of CAREERS and TRiO Programs (CTP), CAREERS Program staff, and CAREERS Program participants. Coordinates meetings and schedules events. Utilizes Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Access) and Google Docs.

Responsible for main office phone/ voicemail (answering general inquiries/directing as appropriate). Monitors CAREERS email and responds ten (10) messages as directed by the CTP Director. Maintains and ensures participants' records, and spreadsheets arc up to date and accurate. Keys participant information in the CAREERS Database.

Performs participant documentation audits. Compiles and maintains a list of former participants for graduation outcome purposes.

Responsible for submitting forms and documents to the Marketing Department for update, and to the Copy Center for Printing. Responsible for assisting with the semester screening and admissions process of potential CAREERS participants.

Utilizes Datatel to access applicable information. Creates, maintains and updates applicable semester list/folders (hard copy and electronic). Assists with classroom presentations by preparing packets for applicable staff. Updates CAREERS Processes' manuals as needed.

Assists the CTP Director with ordering and maintaining, office supplies (staff/participants), monitoring of expenditures, assists with CAREERS equipment inventory for BC and AC, files, stores and archives records, and utilizes college resources to advertise CAREERS events and activities. Assists CAREERS and TRiO Programs Director with the preparation and writing of the Perkins Grant, and applicable monthly reports. Performs other duties as assigned by the CAREERS and TRiO Programs Director.

Excellent grammar and communications skills. both written and oral. Excellent customer service, administrative, and organizational skills, attention to detail and the ability to perform duties with minimal errors are essential. Must maintain confidentially or client records.

Position requires a high level of professionalism. Some evening and/or weekend work may be required. Work hours and location may vary.

Travel between MTC campuses may be required. Reports to the Director of CAREERS and TRiO Programs.

Minimum and Additional Requirements

An Associate Degree and two (2) years related work experience, or high school diploma and three (3) years related work experience. Must possess the ability to type at a corrected rate of 35-55 wpm and perform advanced computer operations.

Preferred Qualifications

Ability to work with diverse groups. Establish and maintain effective working relationships.

Must have excellent human relations and motivational skills. Ability to exercise judgment and discretion. Functions with established guidelines, and independently in the execution of daily tasks using judgment in interpretation and application of policies and general guidelines.
