The Department of Revenue established this position as hybrid remote.

The North Carolina Department of Revenue is accepting applications for an Administrative Specialist II. The primary purpose of this position is to provide administrative support to the Examination Division and, specifically, to the division's Director and Assistant Directors. This position provides assistance to employees in the Exams division throughout North Carolina. The position contributes significantly to the efficient functioning of the Division, including HR actions and other matters such as pending strategies, and ensures confidentiality of all information. This position supervises an Administrative Assistant.

The duties of this position change according to the needs of the Division. The responsibilities and duties of the administrative assistant can be categorized into four major areas: Records and Reports, Support, Office Operations, and Agency Interactions.

Records and Reports

  • Prepare and maintain a variety of records and reports that are used to track division operations including emergency contacts, vacancies, and new hires; inventory control; and other data as needed for efficient operations. Review monthly time and expense reports and travel requests for division employees to ensure all mandated requirements are met and processed in a timely manner.

Support

  • Provide timely support and assistance to the examination staff and management regarding administrative, procedural and system related issues; this may include assessing knowledge gaps and providing training as necessary. Enter and process personnel actions in the HR system of record as requested by division leadership; maintain personnel records.

Office Operations

  • Oversee general office functions and equipment; ensure service maintenance contracts are current and equipment is in working order; maintain supply inventory and distribute to satellite offices as necessary; manage incoming and outgoing correspondence in a timely manner.

Agency Interactions

  • Provide timely and accurate communication to division leadership regarding any issues and to provide HR updates. Interact with other staff across the agency to facilitate the efficient flow of information and to participate with division and agency wide projects and events as needed.
  • Demonstrated experience working with human resources/personnel matters and other confidential information

  • Experience reviewing expense reports and/or time administration

  • Demonstrated experience working on multiple tasks, organizing priorities, and meeting project deadlines

  • Basic to intermediate knowledge of word processing and spreadsheet software

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.

This position is subject to federal and state criminal background checks that may include fingerprinting and verification of tax compliance. "Tax compliance" is defined as having filed and paid all North Carolina State taxes owed each year leading up to the current calendar year or currently in a non-delinquent payment status with the State of North Carolina on taxes that are currently owed to the state.
