Performs diversified reception and office duties in the Engineering Technology Department and assists the Department Chair and faculty with administrative duties and operation of the department office. Provide administrative support for full time and adjunct faculty. Assist students with enrollment, schedule changes, and other issues as needed.

Minimum and Additional

Requirements:
An associate degree or high school diploma and two (2) years related work experience. Must be able to type at a corrected rate of 35-55 words per minute and basic computer knowledge.

Preferred Qualifications:
An Associate degree in Office Systems or a closely related field and a minimum of three (3) years of office management experience. Advanced knowledge of MS Office.

Knowledge of DataTel (Ellucian) is strongly preferred. Customer service experience in the education or public service fields is strongly preferred.

The Administrative Specialist II will independently performs a variety of secretarial and/or administrative duties; to apply written and unwritten policies to perform varying tasks that have significant impact on the operation of the office; use knowledge of program and general office procedures to make independent decisions concerning processing of information and materials and establish procedures to assist supervisory personnel. Serve as primary staff to process Central Registry for Child Abuse and Neglect checks (approximately 2000 per month) by performing a thorough search of CAPSS database for all staff and caregivers in child care facilities, striving for a three-day turnaround. Also processes emergency Central Registry checks after the need has been assessed. Serve as receptionist for Child Care Licensing State Office by receiving visitors, answering telephones and screening and directing calls to appropriate staff; answering general questions from the public regarding licensing of child care facilities. Handle large mailings to child care providers by copying materials and preparing labels, using database. Receive, open, and date stamp incoming mail and route to appropriate staff; prepare outgoing mail. Assemble information packets in response to requests from public; prepare and assemble training materials and assist in logistics for training sessions. Minimum and Additional Requirements: A high school diploma and two (2) years of clerical experience. \ An Associate's Degree and two (2) years of responsible clerical or administrative experience. Preferred Qualifications: Knowledge of grammatical rules, spelling, language usage, and clerical formats; working knowledge of care and operation of standard office equipment; ability to establish and maintain complex filing systems; communicate effectively, both orally and in writing. Working knowledge of Microsoft Office software; and policies, operations and programs.
