This position serves as administrative and office procedural support to a District Law Enforcement Supervisor. Work involves coordinating a full range of support activities necessary for the efficient operation of the district and management of the district office.

Employees in this position have a great deal of contact with the public, both in person and on the telephone, and are typically the first contact that a customer has with the district office.

This individual must independently discern the need of the customer and which classification of employee will be responsible for responding. This employee must also possess a base of knowledge concerning the functions of other sections of D.M.V. as well as several other departments of state government, in order to appropriately refer customers who have come to the wrong office.

This position is also responsible for the appropriate handling of confidential information, both in written and verbal form, and keeping the district law enforcement supervisor informed of issues vital to the district. Reports reflecting the performance of the district and of individual personnel are prepared and forwarded to Bureau headquarters by this employee. Financial matters regarding payroll entry, verification, and approval, as well as expense vouchers are managed by this position.

This position is responsible for handling issues within the district related to problems with state-issued cellular phones and pagers. This position also is the initial contact for employees in the district with human resources issues such as health insurance, dental insurance, and changes of address for payroll purposes. The individual in this position must also act in a support capacity for other employees working in the field that need information which must be accessed via computer or other means.

General office duties such as computer knowledge, filing and the use of office machinery are also a part of this position.

This employee must be a team player and take direction from the District Supervisor, or the Assistant Supervisors within the district. He/She must be familiar in using Outlook mail and setting schedules using outlook calendar for the management staff within the district office. He/She must type memorandums maintain statistical information, complete inventory reports, legal document preparation and status reports.

Knowledge, Skills and Abilities / Competencies

  • Experience gathering and analyzing data in order to determine proper courses of action

Principal Duties and Responsibilities: * Provide general administrative support to the S&P department, including: * Management of S&P interoffice mail process and office supplies * Provisioning for new S&P employees * Coordinating logistics for S&P departmental meetings * Coordinating with technicians for copy machine support * Process coordinator for general S&P processes * Act as the point of contact for internal and external clients * Coordinate with executive and senior administrative assistants to handle requests from executive management * Direct support for S&P Leadership Team members on various tasks and projects, including but not limited to: * Coordinating travel as requested * Coordinating scheduling and calendar management support as requested * Coordinating expense management as requested * Coordination of presentation materials, including assisting in preparing PowerPoint presentations and standard reports as assigned * Assistants in preparing draft reports, memoranda, briefs and correspondence * Supports coordination of departmental employee engagement initiatives, including compiling agendas, presenter confirmation and departmental notifications. JOB SPECIFICATIONS Skills * 3-5 years work experience demonstrating increasing responsibility strongly preferred * Outstanding proficiency in Microsoft applications (Word, PowerPoint, Excel and Outlook). * Proficient in computer skills including basic presentation development. * SharePoint administration experience a plus. * Project management experience a plus. * Excellent organizational skills with the ability to quickly adapt to changing priorities and ability to manage multi-task assignments. * Excellent oral and written communication skills. * Strong problem analysis and problem-solving skills.
