If you are looking for a rewarding career, please consider the Administrative Specialist I position on the Business Operations team within the Support Services section.   This position functions as a member of the administrative group that jointly shares the administrative functions for all Support Services employees. Because the culture and work are fast paced, those with top technical skills and a strong work ethic will find greatest success and opportunity.

Position duties may include, but are not limited to, performing Accounts Payable actions (processing employee expense reimbursements, reconciling credit card transactions, and preparing invoices for payment), entering requisitions and tracking/receiving purchase orders in our procurement system, processing and verifying E-billing payments, database entry, processing equipment surplus, ordering supplies, and internal mail distribution. For each of these duties, the employee will properly transcribe and/or reference all payments to corresponding projects and/or budget codes.

To properly execute this work, the selected applicant must learn and understand policy and procedures for all duties and continuously seek to improve work processes.  The applicant will also communicate frequently with internal and external stakeholders and should have excellent verbal and written communication skills.  Finally, the applicant must have experience using Microsoft Office, and other business and/or accounting systems.

This is a full-time position (40 hours per week) with State Benefits.

To qualify for this position, applicants must document on the application that they possess ALL of the following:

  • Demonstrated experience in at least two of these critical areas: purchase order creation and tracking, funds reconciliation, paying invoices, researching and/or auditing complex data to resolve customer inquiries, and processing travel reimbursements.

  • Demonstrated customer service and dispute resolution experience.

  • Demonstrated experience with Microsoft Office, specifically Outlook (calendar, email, tasks), Excel (spreadsheet creation and formatting, formulas) and Word (formatting correspondence, spell check).

Management Preferences:

  • Candidates with greater than 3 critical areas of experience.

  • Demonstrated experience performing/collaborating as a team member in support of an organization of 50 or more employees.

  • Demonstrated experience using DocuSign and SharePoint.

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
