The Administrative Specialist / Human Resources Designee is responsible for ensuring agency staff is supported related to HR needs, day-to-day coordination of telephone / personnel communication systems, overall management of agency supplies / mail, and processing of accounts payables.

  • Assist branch staff with HR related matters

  • Process HR related documentation

  • Maintain personnel files

  • New employee orientation

  • General HR inquiries

  • Managing all incoming telephone calls in a professional manner including:

  • Screen and route calls to the appropriate agency staff

  • Maintenance and administration of the phone system including:

  • Adding / revising voice mail boxes

  • Managing accurate employee phone roster

  • Process incoming and outgoing mail.

  • Manage and order office supplies (including agency specific forms) as needed.

  • Manage, order, and distribute medical supplies as needed.

  • Manage and process all accounts payable including routing to appropriate corporate department as needed.

Required Skills

  • High school diploma or equivalent.

  • Six months experience in home health agency.

  • Must possess a valid state driver's license and automobile liability insurance.

  • Typing and general clerical skills.

  • Customer service and ability to communicate effectively with all stakeholders.

  • Must be competent with computers.

Under minimal supervision, the Human Resources Coordinator is responsible recruitment activity and the administrative functions relating to: Recruiting, Foreign National Sponsorship, AAP, Compliance, Training and Engagement. Essential job functions include: Recruiting Actively recruit for assigned open positions at CAID; Work with HR Manager on general recruitment activities. Work with Samuel Talent and Recruitment to leverage posting and visibility. Attend career fairs and other recruiting activities as needed to promote CAID. Assist with business unit recruiting efforts, including but not limited to posting ads, screening candidates, participation in and scheduling interviews for Shop Level positions. Works with hiring managers and Temp Agencies to coordinate the employ of temporary staffing as needed; ensures temp staffing receives appropriate training and complete all necessary documentation prior to start date. Assist with the management of the Application Tracking System including job posting, distribution of applications to hiring managers, collect information regarding applicants not considered, and send out appropriate notification regarding status to applicants. Foreign Employee Sponsorship Works with HR Manager, manager and employees on TN Visa and immigration processing: including but not limited to completing forms, posting and tracking jobs, obtaining proper signatures and submitting documentation to attorneys related to TN or immigration processing. Affirmative Action Plan Work with HR Manager to set-up an AAP; ensure all hiring managers are informed of the plan and the status of compliance. Maintain and provide reporting as to the status of AAP compliance. Complete reporting requirements as instructed by governmental entities. Compliance Ensures all required Federal, State and Local posting requirements are met and up to date. Conduct periodic Audit of I-9 and E-Verify processing. Provide appropriate reporting as documentation for each audit as required by the IMAGE program. Conduct periodic audits of ITAR eligible personnel and provide managers with proper notification. Other compliance functions as assigned. Training and Engagement Work with HR Manager and assist with Supervisor training. Work with HR Manager and assist with general training. Work with HR Manager and assist with employee engagement. Other functions as assigned. Other Minimum Qualifications Related 4-year college degree required or Equivalent experience including SPHR or SHRM SCP certification. Experience recruiting for salaried positions experience. Past Compliance related experience preferred. Ability to self-start and self-motivate under very limited supervision required. Excellent organizational skills with the ability to handle pressures of deadlines, diverse assignment loads and high work volumes. Excellent ability to independently problem solve and troubleshoot required. Superior interpersonal and communication skills are essential. Ability to prioritize and switch directions, work independently and demonstrate initiative. Project Coordination/Management experience strongly recommended. Periodic travel within North America (including Canada) of up to 10% required.
