Summary

A successful candidate in this position will serve as the Administrative Specialist for the Technology Development & Integration Center (TDIC), Energy Technology Development (ETD) providing administrative and management support to leadership and staff and coordinating office management activities.

Responsibilities

As an Administrative Support Specialist, you will:

  • Manage the administrative functions of the office and ensure that procedures meet office needs and are consistently understood and followed by the staff.

  • Analyze and review office automation and information systems in order to make suggestions for improvement, direct implementation and train on new systems.

  • Coordinate, oversee and arrange travel for senior staff by processing vouchers and orders.

  • Suggests process improvements and initiates action through proper channels; serves on process improvement teams

  • Recommends and implements changes in administrative policies/procedures.

  • Conducts training sessions on new systems or processes for office staff.

  • Gather information and prepare reports, presentations, charts and tables ensuring proper format (spelling, grammar and terminology) is followed.

  • Answer calls, direct visitors, schedule conference rooms, track procurement actions, and perform time and attendance functions

Travel Required
25% or less - Minimal travel may be required for meetings or training.

Pittsburgh, PA Salary $52,858-$68,712

Morgantown, WV Salary $51,440-$66,868

Qualifications

GS-9: A qualified candidate's online application and resume must demonstrate at least one year of specialized experience equivalent to the next lower grade level (GS-07) in the Federal service. Specialized experience for this position is defined as performing administrative support functions to include training organization personnel/staff to follow new administrative systems or processes, reviewing, analyzing and implementing administrative processes and/or office automation/information systems, independently gathering information to initiate and prepare office correspondence; and preparing and tracking yearly travel budget.

OR

Master's or equivalent graduate degree

OR
2 full years of progressively higher level graduate education leading to such a degree

OR

LL.B. or J.D., if related

  • Knowledge of the function and organization of Office of Energy Efficiency & Renewable Energy (EERE), Office of Electricity (OE), Cybersecurity, Energy Security & Emergency Response (CESER), Energy Technology Development (ETD), and Laboratory to understand the concepts, policies, and objectives applicable to the program and administrative needs of the Laboratory in order to make decisions involving administrative function and make specific recommendations for procedural improvements.

  • Ability to coordinate and integrate the work of other administrative/clerical employees.

  • Knowledge of records management policies, procedures and regulations.

  • Knowledge of information processing systems, as well as ability to prepare presentations, documents and reports using Microsoft Excel, Word, Power Point and Access as well as utilizing local or HQ systems such as Concur, STRIPES, purchasing, ATAAPS, CHRIS, etc. in order to create, manipulate and/or manage information flow.

  • Knowledge of terminology common to the ETD program support areas and Laboratory's mission to prepare technical documentation.

  • Skill in communicating effectively orally and in writing
