Job Description:

The Swette Center for Sustainable Food Systems is seeking an Administrative Specialist Special Projects based at Tempe campus to provide executive-level coordination and support for the Center and conduct special projects in support of the Swette Center mission. This is a hybrid role with approximately 50% of time devoted to special projects and 50% devoted to administrative support.

Under supervision by the Director of Strategic Initiatives, the individual will perform diverse and often complex administrative duties of a responsible and confidential nature requiring considerable independence. Special projects duties will require excellent research and communication skills. The successful candidate will enjoy a fast-paced, active office and be proactive, able to take ownership of tasks, and able to manage several projects at one time. The incumbent will have contact with high-level administrative offices and will require judgement and discretion.

Minimum Qualifications

Bachelor's degree and five (5) years of executive-level administrative support experience; OR, Nine (9) years of executive-level administrative support experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Job Summary: Under minimal supervision, enter and verify data on Account Reconciliation system. Process of incoming cancel, stop payments, deletes, and amount issue/check number corrections, manual issues. Process corrections of rejected items dollar amount mismatch, paid no issue, stop on file stale dated issue and duplicate paid item issues. Prepare billable units of manual charges submit to Account Analysis. Data entry to include quality checks of data keyed. Maintain close account from previous month's files and all miscellaneous new account files. Create and down load diskettes and up load of issues to ARP system. Major Responsibilities: * Performs a variety of general accounting support tasks in an accounting department. * Verifies accuracy of customer transmittals and other accounting documents or records. * Updates and maintains billable forms, and other records detailing financial business transactions (e.g., accounts receivable, disbursements, expense vouchers, payrolls, receipts, accounts payable). * Enters data into computer system using defined computer programs; compiles data and prepares a variety of reports. * Reconciles records with management or external vendors or customers. * Reconcile bank and financial statements/report.
