The Administrative SpecialistIII provides key administrative support for the Office of Medical Education(OME) and performs functions as the coordinator of the Team-Based Learning(TBL) instructional sessions. This position serves as the College of Medicine(COM) representative on UTHSC technology committees, attends and preparesminutes for the OME Cabinet, Committee on Undergraduate Medical Education(CUME), Department of Medical Education (DOME) and other meetings asrequested.


  • Initiates the disposition of department surplus materials, furniture, and equipment.

  • Sends out meeting requests (e.g. Doodle polls) and coordinates with ITS to ensure meetings have Zoom Pro functionality.

  • Schedules and reserves computer labs for student assessments/testing. Serves as back-up proctor for exams.

  • Maintains the listservs for the COM and OME, including each student class (M1-M4), OME staff, committees, and DOME faculty.

  • Maintains and schedules COM events for the Medical Education conference room, TBL room, and Francisco lab.

  • Prepares travel arrangements for personnel in the OME including registrations for conventions/meetings and reimbursement of travel expenses.

  • Coordinates purchasing, contracts and other financial processes with other OME staff.

  • Orders office supplies, receives goods, and maintains records for purchases.

  • Provides technical support to faculty/staff in presentation of Team-based Learning (TBL) instructional sessions.

  • Distributes results of the exams to the Senior Associate Dean, Assistant Dean of Clinical Curriculum, Assistant Dean of Basic Science Curriculum, clerkship directors and coordinators.

  • Performs other duties as assigned.



EXPERIENCE: Four (4)years of office or job-related or technical experience, including experiencemaintaining computer databases and extensive experience using Microsoft Officeproducts; OR Associate's Degree, one (1) year of office experience. Knowledgeof UTHSC personnel policies and procedures and multi-line phone knowledge isessential. Extensive knowledge of computer software (Microsoft Office).Proficiency in using a variety of computer software applications, especially

Excel and Microsoft Word, Microsoft Outlook and Microsoft PowerPoint. Highlevel of interpersonal skills to handle sensitive and confidential informationand documentation. Knowledge of office administration procedures. Ability tooperate most standard office equipment. Attention to detail in composing,typing and proofing materials, establishing priorities and meeting deadlines.Excellent spelling, grammar and written communication skills. Excellenttelephone and oral communication skills and the ability to maintain a highlevel of confidentiality. Knowledge of ZoomPro and Event Management System(EMS) software is preferred. Functional knowledge of IRIS (SAP), TurningPointTechnologies and ZoomPro.
