Responsibilities

Meritage Homes is looking for an Administrative Services Manager to perform senior level Executive Assistant and Office Management responsibilities for our Division President in the Austin Division. This role requires ability to exercise initiative, discretion, judgment, tact, and diplomacy with sensitive, complex, and highly confidential information in a very fast-paced environment. The incumbent is responsible for providing advanced, diversified, and confidential administrative duties that require broad and comprehensive experience, skill, and knowledge of organizational policies and practices.

  • Calendar management and scheduling

  • Travel planning and coordination

  • Copying, collating, binding desktop publishing

  • Report creation

  • Plan, coordinate, and administer small and large events

  • File (paper and electronic) maintenance and organization

  • Presentation development and editing

  • Coordinate Web and Video conferences

  • Create and manage expense reports

  • Compose letters, reports, emails, proposals, as needed

  • Mail, phone lists, schedule meetings, process invoices, set up vendors, set up new hire computers and work stations, etc.

In addition, this person will also effectively perform a variety of HR responsibilities, including opening requisitions, conducting background checks, maintaining organization charts, developing and maintaining talent analysis documents, maintaining employee files, conducting new hire orientations, setting up new hires and completing necessary paperwork, preparing new employee announcements and on-board plans, and conducting exit interviews when needed.

Qualifications

  • College degree preferred with 5-7 years' experience supporting executives.

  • Experience in real estate, commercial, property management, construction or home building industry preferred, but not required.

  • Office management experience a plus.

  • Advanced level technical skills with Microsoft Office tools, Word, PowerPoint, Excel, and Outlook required. Visio a plus.

  • Strong experience developing processes/procedures and process flow documents.

  • Exemplary written and verbal communication skills.

  • Superior organization and project management skills.

  • Ability to maintain confidential and proprietary information and data.

  • Ability to work independently, think critically, and exercise delegated decision making

  • Proactive anticipates needs and takes action.

  • Flexible able to excel in a fast paced environment with changing priorities.

It is the responsibility of the Administrative Associate to accomplish responsibilities within GTT quality standards and corporate goals and in a manner that helps maximize the efficiency of the group. It is also the responsibility of Administrative Associate not only to exhibit legendary customer service when communicating with clients, prospective clients, landlords, and vendors but also to focus on productivity and results through Simplicity, Speed, and Agility REQUIREMENTS: Education: * High School diploma or GED equivalent * Some college and/or Associate degree preferred Experience: * Minimum of 2-4 years of previous related work experience in real estate Technical Skills: * Computer proficient, including knowledge in the following programs: Microsoft Word, Excel, PowerPoint, Access, Adobe Acrobat, Outlook, and other software as assigned Personal Skills: * Must have leadership qualities and work well in a team environment * Excellent interpersonal skills – effective verbal and written communication skills. * Ability to produce quality work in a fast-paced environment * Ability to manage large workloads * Strong attention to detail – excellent proofreading and editing skills. * Ability to maintain discretion regarding personnel and industry-related matters. * Must be reliable. Physical: * Requires some lifting (up to 25lb.). Other: * Uses a computer in conjunction with various software packages the majority of the day. * Uses office equipment (photocopiers, binders, phone system, etc.). * Uses office and audio-visual equipment. ESSENTIAL JOB FUNCTIONS: * Prepares memoranda, letters, proposals, charts, tables and other documents using various software packages. * Provides support through copying, faxing, and mailing as requested. * Compiles moderately complex documents and information for necessary reports, informational packages and/or presentation materials. * Enters deal sheets for leasing transactions, distributes deal sheets to appropriate recipients. * Maintains departmental filing and tracking systems. Includes establishing files for all written / email correspondence, project work, and reports as necessary * Schedules and organizes meetings, conference calls and appointments. Prepares items in relation to meetings, including but not limited to, creation and assembly of documents for distribution, coordination of site reservation, food orders, attendance confirmations, and interacting with attendees to address questions or issues on event. * Coordinates travel arrangements including air reservations, scheduling options, hotel reservations, and car rental reservations. Develops travel itineraries to correspond with current schedules. * Assists in the completion and processing of expense forms for assigned staff * Produces monthly reports for internal and external clients, based on area of business. * Distributes Invoices to individual clients. * Maintains Department Supply Inventory. OTHER: * Communicates by telephone, fax, e-mail, and in-person. * Additional assignments as assigned TEAMWORK APPROACH A detailed list of position responsibilities has been developed so that expectations are clearly communicated.
