Meritage Homes is looking for an Administrative Services Manager to perform senior level Executive Assistant and Office Management responsibilities for our Division President in the Austin Division. This role requires ability to exercise initiative, discretion, judgment, tact, and diplomacy with sensitive, complex, and highly confidential information in a very fast-paced environment. The incumbent is responsible for providing advanced, diversified, and confidential administrative duties that require broad and comprehensive experience, skill, and knowledge of organizational policies and practices.

  • Calendar management and scheduling

  • Travel planning and coordination

  • Copying, collating, binding desktop publishing

  • Report creation

  • Plan, coordinate, and administer small and large events

  • File (paper and electronic) maintenance and organization

  • Presentation development and editing

  • Coordinate Web and Video conferences

  • Create and manage expense reports

  • Compose letters, reports, emails, proposals, as needed

  • Mail, phone lists, schedule meetings, process invoices, set up vendors, set up new hire computers and work stations, etc.

In addition, this person will also effectively perform a variety of HR responsibilities, including opening requisitions, conducting background checks, maintaining organization charts, developing and maintaining talent analysis documents, maintaining employee files, conducting new hire orientations, setting up new hires and completing necessary paperwork, preparing new employee announcements and on-board plans, and conducting exit interviews when needed.


  • College degree preferred with 5-7 years' experience supporting executives.

  • Experience in real estate, commercial, property management, construction or home building industry preferred, but not required.

  • Office management experience a plus.

  • Advanced level technical skills with Microsoft Office tools, Word, PowerPoint, Excel, and Outlook required. Visio a plus.

  • Strong experience developing processes/procedures and process flow documents.

  • Exemplary written and verbal communication skills.

  • Superior organization and project management skills.

  • Ability to maintain confidential and proprietary information and data.

  • Ability to work independently, think critically, and exercise delegated decision making

  • Proactive anticipates needs and takes action.

  • Flexible able to excel in a fast paced environment with changing priorities.

This is role will be responsible for managing a newly created team of Administrative Specialists located in our Austin, TX office. The core focus of this newly created team, which consists of both full-time and contingent workers, is to provide high touch administrative support to executives across the Facebook organization. The day-to-day responsibilities of the team will be focused on services like calendaring, travel and expenses. As the Manager for this group, you will be expected to perform similar duties while monitoring bandwidth of your reports and act as an expert and source of knowledge for the team. This role also involves interacting with executive client groups and requires an ability to advise and influence various internal teams across the business. This person will need to be comfortable executing in a fast-paced environment, be highly organized, have strong communication skills, and build and use data for reporting metrics.This person should also have the ability to juggle multiple priorities and streamline processes. This role is full-time and located in Austin, TX. RESPONSIBILITIES * Management * Manage the shared services team of administrative specialists, who will be a mix of FTEs and contingent workers Maintain understanding of team workload and bandwidth, and enforce the ratio guidance and/or manage exceptions if necessary Serve as the backup for the team in events of leaves by supporting leaders as needed Manage the coverage/backfill process to support the rest of the company (outside of shared services) Provide regular and frequent feedback and coaching to individual team members Communicate frequently with supported leaders to build relationships, and advocate for admins as needed Manage all shared services program escalations Provide support in the headcount and capacity planning process Monitor the pulse and morale of the shared services team members Manage the on-boarding and training (and associated logistics) for new hires and transfers Serve as an expert on admin-related policies (travel, expenses) and enforce with the team as necessary Other partnerships/process/IC work * Serve as a power user of internal and external tools used by admins (Outlook, Concur, etc.), and serve as a coach to others Provide regular and frequent feedback, like feature enhancements, on internal tools that would better serve the admin community Explore opportunities to improve and streamline processes to reduce time spent on manual tasks Partner and align with internal partners like HRBPs, Lead Admins, and the Central Admin Program for new initiatives Partner heavily with HRBPs, Lead Admins, and the Central Admin Program during performance cycle season Establish strong partnerships with PRO Unlimited (contract company), contingent worker agencies, and other on-the-ground partners (Facilities, IT) and serve as an expert on their processes Provide quarterly reports on ratios, performance, work allocation, and leader satisfaction Strive to find more opportunities to improve the service MINIMUM QUALIFICATIONS * 5+ years experience in an administrative role Experience managing workloads of multiple individuals Experience handling customer situations Experience managing, growing, and developing individual contributors Experience using metrics and data PREFERRED QUALIFICATIONS * BA/BS Experience in headcount planning and work allocation Experience managing other admins Experience managing contingent workers Vendor management experience Facebook Austin TX
