This position serves as the Administrative Services Coordinator (ASC) for the Office of Waste Reduction and Recycling (WRR), a unit of the Facilities Division that is responsible for solid waste, recycling, and compost collections on campus as well as the Equipment Services group, which provides equipment operator support to campus projects. The ASC is the primary customer service contact for WRR, and is responsible for handling phone and e-mail requests, assisting customers with questions, relaying information about WRR procedures and available services, and working with vendors.
This position plays a critical role in providing dispatch services to WRR field crews as work requests come in, manages the Service Tickets process, utilizes the AiM work management system to track work, and helps the Operations Manager in coordinating workflow. The ASC is responsible for tracking and ordering office supplies/inventory and preparing signs/display materials. The ASC also assists in scheduling meetings/trainings and maintains the WRR Events Calendar.
Other responsibilities include receiving and processing bills and payments. The position assists the Program Manager with data collection and reporting, including monthly budget reports and compiling diversion data for waste and recycling, which feed into annual reports. The ASC assists in preparing service agreements annually and coordinates the distribution of annual agreements to customers.
WRR is working towards a diversion goal of 70% by the year 2022 and the ASC helps play a role in identifying campus partners, projects and ideas that can help the University reach these goals. WRR is seeking a highly motivated, detail-oriented candidate with strong communication and organizational skills to join our team. As the primary contact for our office, the candidate must possess strong customer service skills and be able to provide accurate and timely assistance to customers.
Given the dynamic nature of the work requests, the candidate must possess the skills to prioritize work and adjust to new information or needs. WRR supports creative problem solving and exploring new ways of conducting business, including exploring an app-based system for handling service tickets. The ASC will provide feedback and suggestions about process improvements and ways WRR can provide the highest level of customer service to our campus customers and the WRR field crews.
High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work. Strong attention to detail, highly organized and ability to independently prioritize work. Must be able to effectively communicate with campus customers, vendors, staff and supervisors and the general public.
Must provide timely and accurate responses and customer service and coordinate with WRR staff when necessary for input. Must maintain highly accurate data and records and have the ability to understand and compile the data into sheets, reports and charts. Must demonstrate problem solving abilities and creative thinking to approach new challenges. Knowledge of Google platforms and Microsoft Office suite including Word, Excel and PowerPoint.
