Overview
The Administrative Services Coordinator I will provide administrative support in the Center for Developmental Behavioral Health (DBH). The incumbent will regularly update the payroll system, procure supplies, process departmental expenses, assist with the staff onboarding process and monitor staff credentials.
Responsibilities
Provide administrative support for the program including, but not limited to, preparation of presentations; managing and directing telephone calls and faxes to the appropriate providers and Institute employees; copying, collating and organizing materials; filing; equipment and resource maintenance; mail distribution; managing inventory; and ordering supplies. Track and manage the process for timely collection, completion, and transfer of patient clinical forms to the appropriate/requesting party via mail, fax, or email.
Input staff attendance information from provider leave requests into the Kronos payroll system and leave calendar in a timely and accurate manner. Process departmental expenses, reimbursements, and purchase requests using Institute purchasing system. Forward all related paperwork to the appropriate departments (e.g., Accounts Payable, Finance, etc.). Assist with coordinating and preparing the onboarding and departing process of new providers and staff.
This includes, but is not limited to, coordinating credentialing, access to systems, office set up, departmental orientation, removal from systems, and obtaining all Kennedy Krieger equipment. Gather, track, and maintain data on Crisis Prevention Institute (CPI) and cardiopulmonary resuscitation (CPR) certifications and expirations. Coordinate trainings, reserve training sites, and notify staff in a timely manner to ensure compliance.
Serve as a backup for playroom attendant, prescription line coordinator, and other administrative positions as needed. Monitor the building environment to help ensure safety procedures are observed and the professional appearance is maintained. Coordinate request(s) and follow-up on repairs and other maintenance needs for department equipment and environment.
Qualifications
EDUCATION:
High School Diploma or G.E.D required.
Associate's degree or higher degree in human services related field or healthcare administration highly desirable.
EXPERIENCE:
Minimum 2-3 years of secretarial or administrative work experience required, preferably in a medical setting.
