the Administrative Services Coordinator II supports the administrative needs of the CARD Director, Clinical Director and Assistant Director of Outreach and Training plans. The Administrative Services Coordinator II will also coordinate CARD events as well as international patient visits.

Responsibilities
1.Provide administrative support to the CARD Director, the Clinical Director and the Assistant Director of Outreach and Training of CARD. This includes scheduling appointments, lectures, travel arrangements and meetings.2. Support operational aspects of existing CARD conferences, trainings and events.3. Take meeting minutes and ensure that the minutes are disseminated to the appropriate parties timely.4. Serve as a liaison with the KKI international office and CARD triage team to assist in ensuring that the clinic is appropriately prepared for the visits from international and VIP families.5. Have frequent, helpful and pleasant interactions with all families/patients at CARD especially for international/VIP families and patients.6. Design, implement, and manage a system for maintaining correspondence and follow-up with VIPs.7. Organize and prepare materials for VIP visits.8. Provide administrative support for tasks related to clinic, research and training staff as needed.

Qualifications

EDUCATION: AA degree or equivalent years of administrative experience is required.

Bachelor's degree is preferred.EXPERIENCE: A minimum of three years administrative support experience is required, preferably within a clinical or pediatric setting.

ESSENTIAL DUTIES AND RESPONSIBILITIES Leads the organization and management of the Due Diligence process. Proactively engaging external and internal clients in the coordination of the process working through a serious of actions and steps. Ability to effectively respond to complex inquiries or requests from clients. Organize customized, deal specific documents within the structured systems in place. Helps to maintains team's CRM (ACT) and various information databases; generate standard and ad-hoc reports as required. Monitors and maintains vendor invoicing to ensure timely payment and accuracy. Schedule appointments, keep calendars, and arrange travel itineraries, and meeting room reservations. Other duties may be assigned. SUPERVISORY RESPONSIBILITIES No formal supervisory responsibilities in this position. Advanced Microsoft Office Suite and internet research skills preferred. Knowledge of Adobe Creative Suite (Adobe InDesign) preferred. CERTIFICATES and/or LICENSES None. COMMUNICATION SKILLS Ability to comprehend, analyze, and interpret various types of business documents. Ability to write detailed reports, manuals, speeches, and articles in a pre-designed style and format. Ability to effectively respond to complex inquiries or requests from clients, co-workers, supervisor, and/or management. FINANCIAL KNOWLEDGE Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts and/or commissions. Conducts basic financial analysis. REASONING ABILITY Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills. OTHER SKILLS and ABILITIES Demonstrates high level administrative/operational skills including appointment scheduling, and ability to compose/proof and edit correspondence and reports. Organizational, attention to detail communication (written, oral, telephone), customer service and public relations skills are essential in this position. Problem solving, decision-making, and analytical skills preferred. Ability to prioritize, and manage multiple tasks, and meet stringent deadlines.
