Under General Supervision, this position will maintain and track all of the fixed assets of the Division of Administrative Services and the 60+ Division of Corrections and Rehabilitation facilities.  This position will also maintain and track all of the fixed assets for the other DAS agencies as needed..  This position will enter FA, FD, FM, FC, FT,FAIT, ETC documents into WVOASIS concerning fixed assets for all of the above Agencies.

 Works closely with Procurement and Fiscal Departments to ensure SHEL documents are created properly.  Conduct physical inventory at each facility as determined to ensure proper asset management procedures are being followed.  Communicate and train facility staff on these procedures to maintain accuracy.

Coordinate with management and facility staff to remove excess surplus property from each facility.  This includes WV Surplus Property and The Office of Technology.  Completion and approval of all documents and schedule pick-up of items.

 If items are disposed of as waste, coordinate waste removal or locate nearby landfills for disposal of items.  Validate and approve received purchased items at the Division of Administrative Services.  Determine if Internal Tags are required and if items need entered in Fixed Assets.

 Communicate with facility personnel as needed for researching policies, training, and researching purchasing and payable documents. Ensure a uniform tracking method of Assets not listed in Fixed Assets are maintained at all facilities.  Run WVOASIS reports to look for Assets entered incorrectly.

 Research documents to locate the actual data needed and correct the errors. Audit physical inventory at all times at all facilities as determined to ensure compliance with all policies and procedures.   Assists in determining the need for changes in procedures, devises a solution, monitors the success of solutions by using Quantitative/Qualitative measures to document the improvement of services.

Training: Graduation from an accredited college or university. Preference may be given to candidates with a major in the area of public or business administration, accounting, industrial relations, communications or related field.

Substitution: Additional qualifying experience as described below may be substituted on a year-for-year basis for the required training.

Experience: One year of full-time or equivalent part-time paid employment in a technical or advanced clerical position providing administrative services such as accounting, budgeting, project monitoring and reporting, personnel, or procurement and property. Experience must have been at the Office Assistant 3 or Accounting Technician 3 level or higher.

Substitution: Successful completion of graduate study in an accredited college or university in one of the above fields may be substituted for the required experience on a year-for-year basis.
