JOB TITLE: Administrative Secretary to the Directors of K-12 Instruction and Student Support Services
IMMEDIATE SUPERVISOR: Directors of K-12 Instruction and Student Support Services
Performs intermediate skilled clerical work performing a variety of typing, data entry and general office assistance tasks; does related work as required. Work is performed under regular supervision. This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects, and some light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects; work requires reaching, standing, fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or to make fine distinctions in sound; visual acuity is required for depth perception, color perception, preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities. The worker is not subject to adverse environmental conditions.
Receiving incoming telephone calls and greeting office visitors; typing, word processing and data processing duties; preparing, maintaining and receiving records and files.
Types general correspondence, memorandum, reports, schedules, official notices and other materials from rough draft, copy, marginal notes, or verbal instruction.
Checks and reviews a variety of data for accuracy, completeness, grammatical errors, and conformance to established standards and procedures.
Collects and maintains records of inventory.
Receives, processes and distributes incoming mail and materials.
Maintains records and generates appropriate reports pertaining to department, program or specialized activity; makes arithmetical calculations; requisitions supplies and materials for department.
Maintains mailing lists, files and indexes.
Coordinates adult education courses with principals, teachers and applicants to include scheduling, registration, advertisement, preparing materials, collecting fees, and record keeping.
Collects and maintains records and generates reports pertaining to Career and Technical Education such financial reports, demographic reports and industry certification.
Requests quotes or bids, enters and processes purchase orders through Munis for instructional materials and equipment.
Processes travel requests, makes travel arrangements, and processes travel reimbursement requests.
Provides administrative secretarial services for the secondary curriculum coordinators and the New Tech Programs.
Communicates with building administrators when necessary.
Maintains employment records and processes timesheets for various programs such as MHC, CTE, curriculum writing, tutoring, etc.
Processes all special placement and non-resident requests.
Assists with arranging homebound instruction for students, and processes all timesheets and paperwork related to homebound and home schooling.
Assists in the preparation of discipline review committee paperwork and documentation.
Assists with the scheduling of disciplinary hearings and generating invitations for all parties.
Prepares the monthly attendance report for distribution.
Assists in the preparation of truancy paperwork and filings.
Maintains a schedule of court events.
Maintains the record keeping for various grants.
Assists in the coordination of the Teacher of the Year banquet.
Demonstrates proficiency in Microsoft Excel, Google Drive, Microsoft Publisher, Microsoft PowerPoint and Microsoft Word.
Prepares the Program of Studies for posting to the HCPS website.
Performs related tasks as required.
EDUCATION AND EXPERIENCE:
Require high school diploma or GED; general knowledge of standard office practices, procedures, and equipment; proficiency in the use of the Microsoft Office suite of software; excellent oral and written communication skills; ability to type and perform data entry work accurately and at a reasonable rate of speed; ability to operate a variety of data entry and office equipment; ability to establish and maintain effective working relationships with employees and the general public; ability to follow oral and written instructions; excellent attendance record.
Prefer minimum of an Associate's degree; 3-5 years accounting or bookkeeping experience; general knowledge of Henry County Schools' policies, procedures and practices, particularly those relating to allocations, budget transfers, purchase orders, field procurements, and travel procedures.
