The County of El Dorado is recruiting applicants for Administrative Secretary. This recruitment will establish a list for the purpose of filling current and future vacancies for up to three (3) months. If you are interested in the position of Administrative Secretary within any County department, please submit your application.

We currently have the following vacancies:

  • One (1) full fime vacancy for the Planning and Building Department located in Placerville, CA.


Under general supervision, provides varied secretarial and office administrative assistance to a division manager or head of a smaller department and related supervisory and professional staff; may provide direction to office support staff.


This class is distinguished from other County office support classes in that incumbents provide secretarial and office administrative services for a designated division manager or manager of a small or single-purpose department and related supervisory or professional staff. General guidelines for action are normally established by the division manager, however, day-to-day activities may require the use of initiative and independent judgment, particularly when prioritizing work from several staff members or when dealing with a variety of County staff and representatives of the public. This class is distinguished from Executive Secretary in that the latter normally provides secretarial and office administrative support to a major department head, and requires knowledge of multiple County functions and activities.

Examples of Essential Functions

  • Receives and screens visitors and telephone calls, providing factual information, which requires the interpretation of policies and procedures; takes messages or refers the caller to the proper person.

  • Researches and compiles a variety of informational materials from sources both inside and outside the office; summarizes such information as directed.

  • Opens and sorts mail and attaches pertinent back-up materials; processes outgoing mail as required.

  • Types drafts and a wide variety of finished documents from stenographic notes, brief instructions, or prior materials; may use word processing equipment and input or retrieve data or prepare reports using an on-line or personal computer system.

  • May attend meetings and prepare minutes as required; initiates specified correspondence independently for signature by appropriate management, supervisory or professional staff; reviews finished materials for completeness, accuracy, format, compliance with policies and procedures and appropriate English usage.

  • Organizes and maintains various office files, including personnel and tickler or follow-up files; purges files as required.

  • Assists with the development and administration of the annual budget; may prepare or maintain statistical, fiscal or payroll information.

  • Follows up on projects, transmits information, and keeps informed of division activities.

  • Schedules and arranges for meetings; organizes own work, sets priorities and meets critical deadlines.

  • May provide lead direction to office support staff; may instruct staff in work procedures and/or review work for format, accuracy and consistency.

  • Attendance and punctuality that is observant of scheduled hours on a regular basis.

  • Performs other duties as assinged.

Education & Experience Requirements (typing "See Resume" in application will not be accepted)

Where college degrees and/or college course credits are required, degrees and college units must be obtained from an accredited college or university. Courses from non-accredited institutions will not be evaluated for this requirement.

Either one year of secretarial experience providing responsible office and administrative support assistance at a level equivalent to the County's class of Secretary OR three years of general clerical or office support experience.

NOTE: The above qualifications are a typically accepted way of obtaining the required knowledge and skills.

Other Requirements

Specified positions may require possession of a valid drivers license.

NOTE: Specific positions may require skill in taking dictation as a rate of 80 words per minute by hand or stenographic machine and transcribing it accurately.

ELEVATE TO EL DORADO The County of El Dorado is recruiting applicants for Executive Assistant (Law and Justice). This list will be used to fill future full-time, part-time, and Extra Help vacancies in Shingle Springs and Placerville. A written exam has been tentatively scheduled for the week of December 10, 2018. If it is determined that you meet the minimum qualifications and are therefore eligible to participate, you will be notified by email at least one week prior to the exam. At that time, you will be required to confirm participation. Failure to do so will result in a voluntary withdrawal from the recruitment. We currently have the following vacancies: * One (1) full time vacancy for the Probation Department Shingle Springs, CA. * One (1) full time vacancy for the Public Defender's Office located in Shingle Springs, CA. DEFINITION Under general direction, performs varied, complex, and confidential technical, administrative, and secretarial support duties in support of an assigned department director in the Sheriff's Office, District Attorney's Office, Probation Department, or the Public Defender's Office, which includes handling confidential materials; coordinates and participates in assigned programs, projects, and services with other County departments, divisions, and outside agencies; works with the public to resolve issues and concerns; provides information or directs questions and requests to the appropriate staff; and performs related duties as assigned. SUPERVISION RECEIVED AND EXERCISED Receives general direction from the designated department director. May exercise technical and functional direction over and provide training to lower-level staff. CLASS CHARACTERISTICS This is the advanced-level administrative and secretarial classification assigned to Law and Justice departments. Incumbents work under the department head's direction and exercise a high level of tact, discretion, and independent judgment in performing a wide variety of specialized technical and administrative support work for the department head and related management, professional, and supervisory staff. Incumbents ensure efficient service provision, interpretation, and application of policies, procedures, and regulations. This position has frequent contact with other County managers, department heads, line staff, and the public, as well as performs various research and budgetary support functions. In addition, given the exposure to department-wide information and contacts, the position maintains confidentiality of sensitive information. Incumbents may also provide lead direction and oversight to administrative support staff. This class is distinguished from the Executive Assistant class based on the exposure to and nature of confidential legal information which requires a thorough background investigation. This class is distinguished from the Executive Assistant to the Chief Administrative Officer in that the latter is a single specialized class that provides a broad range of complex administrative support duties to the Chief Administrative Officer and Assistant Chief Administrative Officer, which has County-wide impact and exposure. Education and Experience: Any combination of the required experience, education, and training that would provide the essential knowledge, skills, and abilities is qualifying. Equivalent to graduation from high school; AND Four (4) years of secretarial or administrative experience in support to executive management staff or department director. Licenses and Certifications: * None. Other Requirements PHYSICAL DEMANDS Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person, before groups, and over the telephone. This is primarily a sedentary office classification, although standing and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, typewriter keyboard, or calculator, and to operate standard office equipment. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects up to 25 pounds. Reasonable accommodations will be made for individuals on a case-by-case basis. ENVIRONMENTAL CONDITIONS Employees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances.
