The Office of Accessibility Services at West Virginia University is seeking applications for a Temporary Administrative Secretary Senior. This position is responsible for providing office support, managing My Access, providing budgetray support, and troubleshooting technology problems.

In order to be successful in this position, the ideal candidate will:

Office Support

  • Respond to inquiries made to the OAS vanity email account as well as phone and fax lines which can include: responding to general questions, uploading documentation sent, archiving prospective student's documentation, as well as saving email in a manner that allows the staff of OAS as well as others within WVU to view when requested.

  • Responsible for electronic and physical key assignment and management.

  • Assist in organizing, planning, and coordinating special events.


  • Procure and maintain a complete inventory of office supplies and equipment including office copiers, computer purchases through Mountaineer Marketplace and MyExpenses.

  • Manage professional interpreters, captioners, and student worker employee timecards and approves bi-weekly payroll including manual overrides for timecard errors in MyAccess.

  • Organize travel arrangements for staff professional development and director approved travel in MyTravel.

  • Assist staff in P-Card reconciliation in MyExpenses.


  • Provide budgetary administrative support for the Director of OAS.

  • Collecting revenues and making deposits, as necessary.


  • Install and troubleshoot problems with computer and software. Contact the vendor technical team or University ITS for updates and problems that are occurring.

  • Upgrade and manage licensed software.

Pay Grade: 12

Length of Assignment: 8.5 Months

Work Hours: 20 Hours per Week

  • Up to 18 months of education or training beyond high school or equivalent education/experience.

  • Two (2) years of secretarial or office administration experience.

  • High level of confidentiality and professionalism.

  • Ability to operate general office equipment.

  • Proficient computer and technology skills, including Microsoft Office, SSC Campus, Banner, and Star.

  • Ability to work in a high-traffic environment.

  • Ability to adapt to changing situations and needs.

  • Ability manage multiple tasks simultaneously and accurately while still meeting deadlines.

  • Knowledge of WVU policies and procedures.

  • Ability to communicate clearly and concisely, both orally and written.

This position is responsible for interacting with students, parents, various professionals, and other stakeholders to educate and inform them of the services available through the Office of Accessibility Services (OAS) at West Virginia University (WVU) as well as the policies and procedures to access these services. In order to be successful in this position, the ideal candidate will: * Review and analyze documentation (medical, psychological, etc.,) submitted in support of a student's request for a disability related accommodation to determine eligibility for services within OAS's policies and procedures. * Engage in an interactive process with student, parents, various professionals, and other stakeholders to gain clarity of the functional limitations caused by the disability in relation to the requested accommodation. * Determine required accommodations by triangulating information from written documentation, student, parents, various professionals, and other stakeholders. * Authorize disability related academic accommodations as requested by the student within each academic class. * Communicate and coordinate with faculty authorized academic accommodations. * Consult with student, administration, faculty, and staff as needed in relation to the implementation of disability related accommodations. * Accurately and punctually record case notes and pertinent data with the SAMM database about each interaction related to the student services, the provision of accommodations, and related communication. * Compile and maintain students' electronic records which include: documentation, completed forms, releases, and related records for sequencing and verification of services. * Participate and contribute to planning, coordinating, and authorizing accommodations, activities, and services with other OAS staff to assure consistency of information and services. * Review, evaluate, and consult on architectural and programmatic accommodation issues. * Refer clients to various other WVU services as well as local and state agencies, etc. as necessary. * Participate and present at various meetings, committees, councils, conferences, and workshops. * Assist in program development and training activities. * Safeguard confidentiality of student records. * Adhere to all established rules, regulations laws and appropriate ethical standards as related to their employment. * Demonstrate knowledge of federal, state, and local rules, regulations, laws, HIPAA, FERPA, ADA, FHA, and the Rehabilitation Act of 1973. * Complete procedural documentation appropriately. * Demonstrate a professional code of ethics. * Engage in continuing education and professional growth activities related to providing students in the post-secondary appropriate disability related accommodations. * Apply and share knowledge gained from professional learning activities. * Complete other relevant tasks assigned by the Assistant Director of Accessibility Accommodations. * Master's degree in Rehabilitation Counseling, Social Work, Counseling. Psychology, Education, Special Education, or related field required. * One (1) year of experience working in a disability services related unit in high education (i.e., counseling/clinical skills is preferred.) Experience obtained in graduate school is accepted. * Knowledge of the principles and practices of medical, psychological, and technical evaluation of disabilities. * Knowledge of federal, state, and local laws regarding access for people with disabilities. * Knowledge of basic electronic file formats, file types and compression- types. * Knowledge of the University policies and programs related to accessibility services. * Knowledge of University/community resources for people with disabilities. * Knowledge of medical, psychological, psychiatric and legal terminology. * Skill in developing and delivering specialized professional consultations and training on disability issues. * Skill working with Individuals with a wide range of disabilities including psychiatric, attention, learning, vision, hearing and mobility disabilities * Skills in analyzing requests for reasonable accommodation and developing and implementing plans for the provision of reasonable accommodations. * Skill with counseling, clinical skills and case management skills. * Skill with personal computers and related software such as word processing, databases and spreadsheets. * Ability to communicate effectively with and understand the needs of persons with disabilities and others serving students within the University community. * Ability to observe, assess and record symptoms, reactions and progress of students with disabilities. * Ability to maintain confidentiality standards and protocols. * Ability to assess students possible needs for academic accommodation, assistive technology and provide referral resources if * needed. * Ability to travel to all campuses within the WVU system as well as throughout assigned campus.
