Description Provides support to the Manager of the Printing Services and department. Major responsibilities include Job intake, Answering of phones, ensuring all print req's are completely filled out with specifications, coordinating the distribution of work to proper area of department, uploading, maintaining and researching inquiries of Charge-back system; compiling budget information; preparing and reviewing invoices for payment. Working with vendors and accounts payable to resolve billing issues. Manages Business card storefront and provide links to userbase for ordering. Responsibilities Dimensions: Assists Manager in all administrative phases of Print operations.

Principle Duties Performs administrative duties for Manager and his assistants. This involves maintaining files for department personnel, budget data, vendor activity, invoices, bid proposals, user surveys and other documentation. Collects and prepares data for monthly reports which entails tracking of key volume indicators.

Monitors monthly budget activity, assists with researching backup to recharges, researches any discrepancies, and acts as liaison with userbase. Assists in compiling, preparing and coordinating data for a budget of $1,700,000 and allocating chargebacks volumes for Printing department. Prepares departmental invoices of $900,000 per year for approval and payment; interacts directly with vendors and Accounts Payable accordingly.

Monitors and tracks overtime chargebacks. Records and tracks checks for pay by check orders. Gathers, records and tracks chargeback volume.

Responds to inquiries regarding charges to business units. Downloads Chargebacks from database system to be sent to finance on a monthly basis. Maintains and prepares mailing and distribution information for Printing Department . Coordinates and updates mailing expense allocation.

Primary Contacts: Management and staff, General Services Administration, various departments of the Firm and external vendors. Supervision Exercised: Minimal.

Supervision Received: Works independently on a daily basis but receives direction with goals from management. Reports to Manager of Printing. Qualifications Minimum 5 years secretarial or administrative experience. Good communication and mathematical skills. Extensive working knowledge of Windows, Lotus 123, WordPerfect and Microsoft Word. The salary range for the role is $20.7509 - $28.899 Hourly. Actual salaries depend on a variety of factors, including experience, education, and hospital need.
