Wage/Hour Status: $17.06 Hourly/Non-exempt

Pay Grade: Paraprofessional/Clerical - Job Group 5

Terms of Employment:
12 months/230 days per year. Compensation is at Paraprofessional/Clerical Job Group 5 on the SAISD Compensation Plan. Entry level is at an hourly rate of $17.06 with additional consideration for directly related experience full-time experience.

Primary Purpose:

Assist in the attainment of district objectives by ensuring that office management is conducted in an effective manner.

Qualifications

Education/Certification:

  • High school diploma or GED equivalent or higher (recognized by the Texas Education Agency or a regional accrediting agency); &
  • Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50.00) paid by the applicant; &
  • Competency on SAISD proficiency clerical test (to include a typing test of 50 words per minute) before continuing within the process towards possible employment.

Special Knowledge/Skills:

  • Demonstrated proficiency in general office management, and procedures.

  • Knowledge in computer software programs to include word processing, database, spreadsheets, PowerPoint and Excel.

  • Possess interpersonal and communication skills; must have high level of integrity regarding department records.

  • Complete work with many interruptions and work independently.

  • Ability to work as a member of a team to provide assistance to department staff.

  • Ability to follow oral and written instructions with limited supervision.

  • Bilingual (preferred)

Experience:

  • Three years of work related experience, general knowledge of routine office procedures to include customer service, telephone etiquette, efficient and effective filing and record keeping procedures.

Major Responsibilities and Duties:

Office Climate

  • Assist staff as needed.

  • Greet visitors/staff with professionalism and courtesy.

  • Maintain and assist with operation of office equipment/machines as needed.

  • Monitors and maintains inventory of supplies, forms, and other materials; initiates ordering process as necessary.

  • Skill in organizing and prioritizing multiple tasks required for own work and work of others, as needed.

  • Ability to establish and maintain effective, professional working relationships.

Communication and Phones

  • Schedule meetings and appointments for administrative staff and maintain calendar for administrator.

  • Answers incoming phone calls by providing information, taking accurate messages, screening requests on behalf of supervisor, or referring calls to appropriate person; places calls to obtain and/or research information for administrative personnel.

Records and Reports

  • Perform general office procedures including typing, filing, mail, duplication of materials, data processing, editing and general bookkeeping/recordkeeping, and monitor the appropriate use of department budget.

  • Prepare and edit correspondence/reports for supervisor.

  • Assist with processing department reports, documents, directed by administrator.

  • Maintains supervisor's calendar and schedule; makes appointments and travel arrangements; plans and arranges conferences and special events by ensuring that any necessary rental/reservation arrangements are made.

  • Maintain general office files: save/store required documents per policy and administrative procedures.

  • Create and maintain spreadsheets to document and track department initiatives.

  • Participate in district and campus staff development programs that improve job related skills.

  • Use effective communication skills with district personnel.

Maintain emotional control under stress; work with frequent interruptions/deadlines; frequent sitting, standing, walking, climbing, balancing, pulling and pushing; reaching, repetitive hand motions, hearing, speaking clearly, visual acuity and prolonged data input; occasional lift/carry light, moderate 15-44 pounds.

Environmental Factors:

Frequent exposure to: temperature extremes, humidity extremes, noise, low or intense illumination, vibration, biological hazards, working on uneven surfaces, working alone, working prolonged or irregular hours.
