JOB SUMMARY:

Under general supervision, the Administrative Receptionist answers main city telephone number, routes incoming calls to the appropriate department, greets and directs visitors and customers to appropriate offices, answers questions, and provides information to the public.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

  • Answers main city telephone number and routes incoming telephone calls to appropriate departments quickly and accurately while maintaining good public relations and composes and records city/facility closing greetings for main telephone number.

  • Greets and directs visitors to appropriate offices and answers inquiries from the public and provide general information and maintains appearance of front lobby.

  • Sorts and distributes incoming mail to City Hall, answers City Hall staff telephones when requested to do so, receives and processes City Hall meeting room requests, and serves as the ADA liaison for the City Hall facility.

  • Performs various clerical duties, requiring knowledge of office procedures, various computer programs and operation of office equipment such as fax and copy machines.

  • Maintains database of community information for reference to the public, handout materials including brochures, pamphlets, and related materials and updates and maintains employee directory.

  • Monitors and identifies media coverage and provides copies to the City Secretary.

  • Responds to general questions related to garbage and recycling services and escalates when appropriate.

  • Performs other related duties as assigned.

KNOWLEDGE SKILLS AND ABILITIES REQUIRED:

  • Knowledge of the functions of the City, County, and State governments.

  • Ability to type with proficiency and accuracy.

  • Skilled in good verbal and grammatical skills.

  • Ability to use pleasant and distinct phone voice while conveying a courteous and helpful image to callers.

  • Ability to maintain well-groomed professional appearance.

  • Ability to operate telephone system with accuracy and speed.

  • Ability to maintain confidentiality and communicate effectively with coworkers and the public.

  • Ability to sit for extended periods of time.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED:

High school diploma or equivalent required. Previous receptionist or customer service experience preferred. Must possess a valid Texas Driver's license with a good driving record.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

Sitting, walking, and standing, some pushing/pulling, lifting and carrying up to 35 pounds; grip 45 pounds; repetitive movement of wrist and fingers during computer data input; reaching; 50-100% of day using computer; bending, squatting, kneeling, stair climbing, reaching, fine motor manipulation. Maintains static posture during sitting. Works indoors in a controlled environment 80% of the time, but may perform some functions outdoors for special events.
