Position Summary

The Administrative Project Coordinator supports the administrative and programmatic responsibilities for the Office of the Provost, working with the Program Coordinator II on key initiatives under the domain of the Provost's Office. This position supports the Program Coordinator II in administrative role and assumes the initiative to determine needs, work prioritization, and necessary action with direction from the Program Coordinator II. Key responsibilities include: scheduling/reserving space and time on key stakeholder's calendars; support projects, programming, and events; staffing committees; communicate and capacity to work with diverse stakeholders within the team and across the university.

Job Description

Primary Duties and Responsibilities

  • Support and assist with University projects that develop in the Office of the Provost. Work with Program Coordinator II on supporting the development, execution and oversight of programming and its activities led by Provosts, Vice Provosts, Office of the Provost Faculty Fellows, and Provost Leadership Team.

  • Anticipate and ensure all meeting/program details, confirmations/reservations, venue details, and requirements for all attendees are met. Prioritize projects, track deadlines, and anticipate any challenges. Support program growth and development as necessary.

  • Facilitate communication through/to Provost Office leadership, Provost Office team, internal and external guests (when necessary) in regards to details and updates on scheduled programming and activities.

  • Maintain budget and track expenditures related to assigned programs/projects, process expenditures, and maintain electronic files current and archive when necessary.

  • With a positive attitude and willingness to learn and endorse best practices, foster successful relationships with external vendors, internal leaders, and program participants.

  • Perform other duties as assigned.

Preferred Qualifications

  • Bachelor's degree.

  • Ability to make decisions and judgment calls.

  • Ability to work within a budget.

  • Ability to design, implement, and oversee complex programs and initiatives.

  • Excellent organizational skills and ability to multi-task often under high pressure and deadlines.

  • Ability to troubleshoot with little or no involvement from Program Coordinator II.

  • Excellent interpersonal skills and ability to work well with students, staff, faculty, administrators and alumni, and other key external constituents and campus visitors.

  • Ability to use discretion and maintain confidentiality.

  • Ability to communicate well with others, including administrators, faculty, students and other departments.

  • Knowledge of and experience with Windows and Microsoft Office. Word processing professional with extensive knowledge of editing marks.

  • High level of professionalism and institutional enthusiasm.

  • Excellent spelling, grammar and punctuation skills.

  • Ability to work independently and handle a variety of projects simultaneously.

  • Excellent proofreading skills.

Required Qualifications

  • High school diploma or equivalent high school certification.

  • Three years of relevant experience.

Grade

G08-H

Salary Range

$20.76 - $32.21 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
