This position will provide administrative and project coordinator support for Government Programs Department. Perform analytical, project management and administrative support for Medicare and Medicaid projects and serve as a conduit for communication between senior management, department leadership and staff at all levels.

  • Provide support to the SVP, Government Programs on all administrative matters, including maintaining executive calendar, answering phone calls, recording meeting minutes and following up on important committee meetings.

  • Serve as key contact to multiple internal and external stakeholders to ensure deadlines are met with appropriate resolution.

  • Attends internal meetings, takes meeting minutes, maintains and distributes accurate minutes.

  • Performs clerical duties including, but not limited to: maintaining organized files, and e-files; relaying/running documents, scheduling meetings and hard drives between various offices; obtaining needed signatures on various research documents.

  • Establishes the coordination of basic and moderately complex project activities and ensures the quality, timeliness, and integrity of ongoing Medicare and Medicaid projects.

  • Carry out necessary research and compilation of data, documents and analysis for Government Programs SVP.

  • Assist in the development and updating of project plans.

  • Adhere to project timelines, prioritize among competing needs, and coordinate multiple projects simultaneously.

  • Coordinate, track and prepare records to handle consultant accruals and billing.

Qualifications:

  • Bachelor's Degree, preferably in Business or related field

  • 2 - 3 years of experience in a professional setting, including positions handling confidential information

  • Additional years of experience or specialized training can be used in lieu of educational requirements

  • Proficiency with MS Office application suite (word processing, spreadsheet/database, presentation software)

  • Strong verbal and written communication skills

  • Ability to maintain a calm, professional demeanor, confidentiality, and to effectively complete multiple tasks/projects with competing priority levels and deadlines.

Additional responsibilities include providing administrative support to the Insurance & Immunization team; researching insurance claims; providing insurance and immunization compliance information to students; communicating with students and parents, and assist the staff with investigating insurance and immunization compliance problems. Minimum Qualifications for Grade Applicant MUST meet these minimum qualifications to be considered an applicant Bachelor's degree and/or its equivalent required. Minimum 0-2 years of related experience required. Must be able to manage highly sensitive and confidential communications with discretion and integrity. Outstanding customer service and communication skills (written and verbal). Ability to produce error-free work. Must be well organized and detail oriented with ability to perform well under pressure. Proficiency in Microsoft Office applications (Word, Excel, Power Point) and general familiarity with other computer systems. Demonstrated commitment to diversity and serving the needs of a diverse student population with cultural competence and sensitivity. Contact newly identified insurance plans submitted to the office through waiver requests or petitions to verify plan meets Columbia requirements. Makes recommendation to the Sr. Health Insurance Specialist on possible comparable plans and maintains a reference list of non-comparable plans. Under the direction of the insurance specialists, coordinate all email outreach efforts during the annual open enrollment period. Participate in new student orientation events as needed. Maintains petition files and update weekly report for Aetna Student Health. Assist in sending weekly eligibility files to the third party administrator. Provide general coordination of departmental projects. Coordinate and manage logistics for ad-hoc and special projects, departmental committees and work groups. Coordinate meetings, take minutes, compile and distribute information, prepare schedules, track projects and maintain project records, and provide general coordination of departmental efforts. Retrieves insurance related reports and collate with data from the online systems for Specialists further review. Verify eligibility for all third-party Voluntary Insurance Plans, manage related student outreach and report same to the third party administrators.
