What We Are Looking For

The Administrative Program Manager plays a pivotal role in providing direct support to faculty, staff, and students utilizing the Department of Occupational Therapy and Department of Physical Therapy lab, student center, and office spaces on Washington Avenue, overseeing administrative functions. This includes coordinating scheduling, setup, and maintenance of the office, managing inventory of supplies and equipment, and serving as a central point of contact for inquiries and information dissemination. Additionally, this role supports planning and executing departmental events, ensures compliance with safety regulations and confidentiality policies, and maintains accurate records of office operations. Collaborating closely with departmental leadership and university support services, the Administrative Program Manager facilitates smooth operations and addresses space related needs to ensure efficient functioning.

A Bachelor's degree and two years of relevant work experience are required. Five years of relevant work experience is preferred. A combination of education and work experience may be considered in lieu of the required degree and/or years of experience.

Applicants must currently be authorized to work full-time in the United States.

What You Will Do

  • Develop and implement advanced administrative protocols and support systems to optimize faculty, staff, and student interactions within the PT/OT office and lab space, leveraging technology to streamline processes and improve efficiency.

  • Lead the strategic planning and execution of all Washington Avenue space management, including the design and implementation of an integrated workspace management system that ensures optimal use of resources and compliance with university standards.

  • Oversee a comprehensive inventory management program utilizing advanced tracking software to automate procurement, monitor usage patterns, and forecast future needs, ensuring cost-effectiveness and availability of critical supplies and equipment.

  • Implement and manage a centralized communication hub that integrates various channels (emails, phone calls, scheduling systems) to ensure efficient and timely dissemination of information and coordination of office activities.

  • Develop and oversee a robust compliance and safety program that includes regular audits, staff training sessions, and the implementation of best practices to maintain a safe and compliant office environment.

  • Establish and manage a comprehensive record-keeping and documentation system that ensures data accuracy, integrity, and confidentiality, utilizing advanced software solutions to streamline record management processes.

  • Lead cross-functional teams to identify and implement operational improvements, fostering a culture of continuous improvement and collaboration to enhance overall departmental efficiency.

  • Attend departmental meetings and departmental events as needed.

  • Plan, coordinate, and oversee the execution of high-profile departmental events, ensuring seamless logistics, effective stakeholder communication, and adherence to university protocols.

  • Take on additional leadership responsibilities as assigned, including strategic planning initiatives, special projects, and acting as a key advisor to the Director of Operations on matters related to office management and administration.

  • Ability to comply with University policies

  • Maintain regular and punctual attendance

  • Perform all other duties as assigned to support Baylor's mission

Additional requirements:

  • Strong time management and organizational skills.

  • Advanced knowledge in planning, conflict resolution, and coordination.

  • Demonstrates confidence in interpersonal communication and teamwork, including the ability to work independently and as a team member.

  • Rare travel is required for this position.

  • This position requires local to Waco, with at least 3 days per week within the Departmental office spaces at 801 Washington Ave.

  • Occasional weekend work is required during lab immersions and open houses.
