Qualifications

Bachelor's degree or appropriate certificate of training preferred.

Excellent customer relations skills.

Must be proficient in Microsoft Office, emphasis in Excel and Word.

Demonstrated experience in working with databases and performing data entry.

Excellent typing and letter composition skills.

Excellent organizational skills.

Excellent verbal and written communication skills.

Excellent proofreading skills.

Excellent telephone techniques are required.

A high level of confidentiality is required.

Must have excellent professional etiquette and customer service skills.

Ability to work in a fast-paced environment with flexibility and accuracy.

Essential Job Functions

  • Greet and welcome individuals who come to the IDC building Campus (guests clients, instructors, etc.). Direct visitors to the appropriate person and/or office.

  • Maintain all Safety and Technical Training program files and spreadsheets for WED.

  • Accurately enter a high volume of class and student information into the student information system and scan all class folders.

  • Prepare class folders containing the course syllabus and class roster for each class.

  • Prepare and submit (accurately and on time) reports required by the Oklahoma Department of Career & Technology Education.

  • Enter data and maintain client information in the customer relations management database.

  • Complete necessary in-house written communication including invoices, event sheets, requisitions, memorandums, training agreements, payroll requests, and invoice information sheets.

  • Answer telephones for the WED Division. Answer questions and provide excellent customer service in assisting clients, students, and coworkers.

  • Provide switchboard coverage, answering and transferring calls for the campus-wide phone system, as requested.

  • Schedule meetings, events, and training classes for clients and schedule use of WED facilities. Serve as host for groups on campus as needed.

  • Prepare instructor class folders containing name tents, evaluations, and instructional materials for training classes.

  • Coordinate printing and binding of course materials.

  • Set up classrooms, when necessary, with equipment and coordinate with the Culinary Arts department when refreshments are requested for meetings.

  • Compile information from class evaluations for easy analysis and review by client companies.

  • Order instructional supplies, materials and books when necessary for training classes.

  • Prepare purchase order requisitions for WED staff and instructors.

  • Monitor and replenish office supplies for WED staff as needed.

  • Research, prepare, and book travel arrangements for WED staff when requested.

  • Occasionally, deliver safety training materials to an employer site within the District.

  • Promote Meridian Technology Center, its programs, and employees at every available opportunity.

  • Must be able to occasionally lift as much as 20 lbs. (copier paper and training materials).

  • Assist other Program Managers and Administrative Professionals in the WED Division when necessary.

  • Attend staff meetings as requested by the Superintendent or the Executive Director of Workforce and Economic Development.

  • Utilize work time efficiently and report any exceptions to supervisor and WED staff.

  • Abide by all policies and procedures adopted by the Meridian Technology Center Board of Education and assist in implementing all policies and/or procedures governing client conduct.

The Administrative Professional, Workforce and Economic Development will be evaluated on the previously listed responsibilities to determine satisfactory performance. These evaluations will determine salary increases and career advancement possibilities.
