About Us

This position reports to the Admin Manager II and works within the Office of the Vice Provost for Undergraduate Education (OVPUE) administrative team to provide support for programs housed within the Academic Success and Advising (ASA) and the Engaged and Experiential Learning (E2L) units. The support provided by this position is critical to the optimal functioning of the units supported. The Administrative Professional III is a member of a valued and highly functioning unit that is critical to the program success of the program units within the Office of Undergraduate Education.

Responsibilities

  • Provides calendar and travel support for the Executive Directors of ASA and E2L.

  • Responsible for student hiring. Compiles and completes all necessary documentation of full-time/part-time, graduate/student assistants for submission to Human Resource Office in compliance with regulations pertaining to employment.

  • Manages ongoing time approval and modifications including web clock corrections for 150+ student staff.

  • Assists with the procurement process.

  • Assists supervisor with yearly equipment inventory. Maintains annual inventory report(s) on equipment and furnishings.

  • Ensures that the front desk is staffed during normal business hours and is responsible for delivering exceptional customer service to students, faculty, staff, and other visitors.

  • Makes travel arrangements for unit staff management and staff as needed.

  • Develops and maintains general office files including electronic filing of all important documents.

  • Plans meetings and other events to include scheduling, reserving space, catering meals, and communicating key information.

  • Monitors and updates department website with tutor/Teaching Assistant schedule changes.

  • Assists with pcard transactions and must be pcard eligible.

  • Perform other duties as assigned.

Note on Working Time

This position must be available to work standard GT business hours M-F, 8-5 (or 7-4 or 9-6), as well as some evenings as weekends based on student programs and with advanced notice. The first 3-6 months of employment are fully in-person/on site.

Job Summary

Provide specialized administrative services within a campus unit to include organizing and preparing correspondence, reports and other documentation; event management; records management, and related administrative activities. Typically provides work guidance to lower level administrative personnel with the unit.

This position will interact on a consistent basis with: unit management and staff, vendors and office visitors. This position typically will advise and counsel: administrative staff . This position will supervise: N/A

Responsibilities

Job Duty 1 -

Originate and process correspondence, reports and other documentation.

Job Duty 2 -

Compile, organize and analyze data for use in reports.

Job Duty 3 -

Plan meetings and other events to include scheduling, reservations, arrangements, etc.

Job Duty 4 -

Make travel arrangements for unit staff management and staff as directed.

Job Duty 5 -

Maintain office supplies inventory.

Job Duty 6 -

Develop and maintain databases and records management systems.

Job Duty 7 -

Review and resolve routine administrative related questions and issues; provides input regarding new or revised unit administrative procedures.

Provide training and ongoing work guidance to administrative staff members as required.

Perform other duties as assigned

Required Qualifications

Educational Requirements

High school diploma, GED Certificate or Vocational School Diploma

Required Experience

Three to four years of job related experience

Project Management Professional (PMP)

  • Bachelor¿s degree in strongly preferred.

  • Professional experience in a research university setting

  • Advanced MS Office knowledge and skills: Spreadsheets, Power Point, Document Management

Proposed Salary

Job Grade: A5

Non-Exempt

Hourly Range: $16.96 to $23.06

Salary will be commensurate with experience and education.

SKILLS

This job requires advanced skills in general office administration to include document processing and management, records management, event management, problem solving and office organization. Skill in use of advanced office related computer applications is required.
