We are accepting applications for an Administrative Professional 4 within the Office of Financial Management, headquartered at the James Rhodes State Office Tower, 30 East Broad Street, 11th floor, Columbus, Ohio 43215.
What You'll Do:
Under direction of Senior Financial Manager
Provides non-routine administrative support by exercising independent judgment to formulate decisions and resolve complex and confidential and/or highly sensitive, non-legal matters.
Manages projects involving sensitive material related to development of fiscal related procedures.
Assists (e.g., analyzes, evaluates, interprets, recommends) in development of fiscal related procedures.
Manages assignments and reports to completion.
Collects, research, and/or analyzes data.
Discusses/resolves issues with internal/external staff and customers.
Ensures that project and report deadlines are met.
Prepares oral or graphic presentations for the Deputy Director using Microsoft software (e.g., Word, Excel, Access, and PowerPoint) and, upon request by Deputy Director, presents the material as needed.
Independently composes correspondence, documents, reports, and analyses.
Obtains, provides, handles, edits, and types complex and confidential and/or highly sensitive information.
Provides same support for special projects as designated.
Transmits information relative to policies, procedures, and directives to appropriate office, departments, and individuals.
Communicates decisions, assignments, and directives to appropriate office, departments, and individuals and follows-up as necessary including notification to appropriate office, departments, and individuals regarding any issues that may develop.
Attends meetings as requested.
Provides summary of meetings concerning developments, timelines, issues, and follow up as directed.
Maintains appointment calendar and filing system.
Performs secretarial tasks for Deputy Director:
Prepares memos/letters/reports/documents utilizing Word, Excel, Access, and PowerPoint.
Opens, stamps, and distributes all incoming correspondence, and retrieves certified and express deliveries.
Answers telephones.
Schedules meetings and teleconferences.
Reviews/collects/maintains employee payroll information and enters in Kronos Automated Timekeeping System.
Processes budgetary documentation on basis of need (e.g., invoices for payment, travel expense vouchers).
Responds to questions/inquiries from public and staff.
Handles sensitive and confidential telephone calls and refers to appropriate staff for response.
Performs other duties as requested.
Currently operating under a hybrid schedule. Two days in-office per week, subject to operational need.
Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; 12 mos. exp. in secretarial/administrative professional field.
Or 30 mos. exp. or 30 mos. training. in secretarial/administrative professional field.
Or 12 mos. exp. as Administrative Professional 2,16872.
Or equivalent of Minimum Class Qualifications for Employment noted above.
